Location: Singapore (Hybrid)

Our client help a variety of customers and partners bring modern communications solutions to their organizations, from the conference room to the classroom, from doctor\xe2\x80\x99s offices to financial institutions to government agencies, and from global brands to small businesses. Our client new Experience Hub in Singapore provides our customers and partners across Asia-Pacific with the opportunity to see these innovations and connect and engage with our client thought leaders and industry experts.

The Experience Specialist is an operational & administrative role designed to support the logistics and operations of our client Experience Hub. The role is the first touch point for our customers and partners from across Asia-Pacific visiting the Experience Hub and would be responsible for elevating the customer experience of each visit. The ideal candidate will be a self-starter, requiring minimal supervision and direction, and comfortable with collaborating with cross-functional teams in marketing, sales, solution engineering, and product.


Job responsibilities:

  • Manage calendaring for Experience Hub events including briefings, demo tours, and other engagements
  • Ensure each briefing has support end to end from kick-off to follow-up for both onsite, hybrid, and online briefings:
    • Manage pre-planning and prep logistics
      • Manage during event coordination needed
      • Manage post-event coordination
  • Manage scheduling speakers once the briefing agenda has been finalized
  • Data entry to support KPI and impact reporting on a bi-weekly basis
  • Ensure logistical arrangements are made to support Experience Hub virtually and onsite (aligning calendars, invites, microsites, booking meeting space, data entry, coordinating vendor services including catering, custom gifts, customer experience, A/V test etc.)
  • Elevates the customer experience by providing attention to detail on briefing experience customizations including swag, gifts, virtual backgrounds, music, experiences, room set-up, etc. or special requests
  • Escalates short-notice speaker declines and other risks to the Briefing Manager
  • Assists Briefing Manager with room set-up or closing briefing duties as needed
  • Speaker bench appreciation and manage the upkeep of bios
  • Run Experience Hub volunteering committee
  • Close collaboration with Building facility, Workplace, and IT teams to ensure operational efficiency

Qualification:
  • 3-5 years of experience in Executive Briefing Program/ Marketing Events/ Sales/Operations or Administrative capacity within the technology industry
  • Experience in front-line customer service or client-facing roles
  • Demonstrates energy and enthusiasm
  • Strong written and verbal communication skills
  • Good time management skills and comfortable with managing multiple projects at the same time
  • Ability to adapt and work under fast-paced and changing environments
  • Effective problem-solving skills
  • Familiar with using tools such as Zoom, salesforce, Google Workspace or Briefingsource
  • Ability to converse/read in English with another language in Japanese/Korean/Bahasa/Melayu/Vietnamese/Chinese a plus
  • This is a hybrid role and requires the candidate to be onsite on days when in-person briefings are happening (80% onsite, 20% hybrid)
