Work Dynamics

What this job involves:

DUTIES AND RESPONSIBILITIES

The Account Manager must be a team player, and people manager and focus on the team\xe2\x80\x99s performance to meet key performance indicators (KPI) as set out in the management of the contract.

Procurement and Vendor Management

  • Evaluate the vendor procurement and management practices of the various Accounts Site FMs and ensure renegotiation and tendering, including tender documentation; evaluation of tenders and preparation of contracts are in accordance with agreed client/JLL procurement guidelines.
  • Benchmark services across properties within the country.
  • Administer the virtual approval process for contract execution
  • Co-ordinate and monitor the contractor management program
  • Manage a process to track the contract, manage the quality of performance and drive new initiatives.
Facilities Operations
  • Ensure Implementation of building operation procedures and performance matrix. Drive simplification and accuracy of work methods and reliability of systems.
  • Implement a Planned Preventive Maintenance program to minimize reactive maintenance. Ensure all reactive repair and replacement are completed within the contractual period and costs are kept to a reasonable rate.
  • Ensure that the team liaises closely with the Regional Operations procedures to ensure service standards are maintained
  • Recommend continuous quality improvement practices across the region, ensuring initiatives in one country are followed up in the other parts of the region to maximize the benefits to the client.
  • Ensure consistency of regional policies & procedures.
  • Ensure all staff is familiar with JLL / Client CMMS and using the tools to execute their daily activity.
  • Responsible to aggregate the Reactive and proactive data and develop a strategy to reduce the site workload, repeated failures, and cost-saving initiatives.
  • Implement, and comply with JLL Quality compliance guidelines (MAD & Ops Aide program) and participate in audits, for quality assurance
  • Assist FMs and AFMs with the coordination of Churn and other relocations activities
  • Ensure all Critical Environment (CEM) requirements are met.
  • Ensure all Reactive Maintenance is completed as per the agreed timeframes in accordance to contractual KPI requirements.
  • Implement a comprehensive energy & sustainability management program
  • Ensure all Financial Management requirements are completed in a timely and accurate manner.
Risk Management
  • Assist in the implementation of a property risk management program that identifies major property risks including occupational health and safety, fire safety and essential services, and environmental.
  • Ensure critical operations and sites are identified across the account & region.
  • Ensure data integrity of all systems across the account & region and audit data from time to time
  • Develop guidelines and strategies to protect the health and safety of staff and others, protect client and Jones Lang LaSalle reputations.
  • Ensure disaster recovery and business continuity planning is implemented and maintained across the account & region.
  • Ensure escalation procedures are in place and observed for incident and problem reporting including advice to and Site Lead.
Profitability/ Savings Initiatives:
  • Develop initiatives and strategies that lead to cost savings and service improvement
Customer Service / Client Relationships:
  • Develop a client engagement program, giving them an excellent customer experience that provides value in JLL.
  • Evaluate service response time and analyze occupants\xe2\x80\x99 service request trends and suggestions
  • Ensure feedback from client sessions is recorded and actioned to the satisfaction of the end user.
  • Proactively develop and manage client/business unit relationships ensuring that the expected service levels are achieved across the region.
  • Lead by example and groom the team in achieving maximum client satisfaction level
Reporting:
  • Ensure that the team delivers meaningful inputs across the region in the development of monthly management reports.
  • Review monthly financial reports including the preparation of accruals and variance analysis.
  • Assist in the budgeting and Recommit process including reviews with the FMs/AFMs as required.
  • Administer the JLL Account Management Dashboards and ensure that all reports and other relevant data is regularly updated.
Training:
  • Ensure you have a training and development plan for every staff in your account.
  • Ensure the team is well-trained in all facilities\' policies, procedures, and systems. Work closely with the JLL senior Account team to devise new and innovative methods of learning built around skill development, leadership, and succession planning
  • Assign buddies for new team members to ensure teamwork, consistency & rationalization of the team
Leadership / Staff Management:
  • Actively encourage an environment that supports teamwork, cooperation & performance excellence across the region
  • Act as manager and a coach for the team ensuring high staff morale, trust, and work ethics.
COMPETENCIES
  • Interpersonal skills with a strong client focus.
  • Team Leader with line management skills and the ability to delegate
  • Technical comprehension and experience with performance-based service contracts and vendor management
