DUTIES AND RESPONSIBILITIES

  • Reports directly to the Facility Manager, with responsibility for overseeing and/or coordination of maintenance and other work assignments performed by building management, technicians, vendors and contractors, to ensure the facilities are well managed and maintained.
  • Oversees and inspects the work performed by outside contractors and building management. Contracted work includes landscaping, HVAC, plumbers, cleaning etc. Ensure PPM is carried out to schedule.
  • Day-to-day \xe2\x80\x9cOperational\xe2\x80\x9d Management of vendors to ensure required vendors are assigned within SLA response times, to attend to facilities-requests and ensuring No \xe2\x80\x9cDown-time\xe2\x80\x9d on critical items and/or escalated customer complaints.
  • Ensure all Facilities related documentation is filed and inventoried properly at site. Maintains records and logs of service requests, DO/PO/invoice, file on work orders, reports, and all other facilities related documents, and tracks their status.
  • Verify the quantity and quality of work done and certification of progress claims/ payment to vendors. Raise purchase orders as required and ensure that financial processes are adhered to.
  • Inspects and troubleshoots building systems including fire alarms, HVAC, and plumbing to ensure operation of equipment is within design capabilities and achieves environmental conditions prescribed by client.
  • To respond and attend to all emergency calls, after office hours and for reinforcement of manpower during major breakdown of equipment.
  • Conduct inspections on the facility and act on findings identified during the building and workplace inspections.
  • Create work orders and assigns work orders to technicians, subcontractors, and vendors. Communicate work orders and assists management in resolving problems
  • Ensure work orders issued are closed in time with customer satisfaction.
  • Maintain and check for accuracy on completed paperwork submitted by vendors, including all permit to work applications, safety documentation e.g Safe Work Method Statements, Risk Assessments, necessary qualifications (e.g Work at Height) prior to carrying out works.
  • Respond to client inquires and concerns. Ensure timely and quality service delivery to clients.
  • Responsible for the planning, co-ordination and execution of annual shut down
  • Responsible for the planning and execution of corrective/preventive maintenance programmes
  • Perform risk assessment and evaluate content of maintenance plans in CMMS (computerized maintenance management system) including methods, maintenance frequencies, resources, spares and tools needed.
  • Determine material, equipment, tools and spare parts to be used for maintenance jobs.
  • Maintain stock take and inventory management for equipment and spares
  • Review and recommend Standard Operation Procedure (SOP) and propose changes for review.



JOB REQUIREMENTS

  • Diploma/Degree in Mechanical/Electrical Engineering or other relevant field
  • Experience in facilities management within corporate environment
  • Strong Mechanical and Electrical knowledge and skills
  • 5.5 day work week
  • Ability to establish and maintain effective working relationships with co-workers, managers and clients.
  • PC and MS office skills essential
  • Customer Service Skills
  • Excellent Contract/Vendor Management Skills
  • Good Communication skills at all levels
  • Creative thinker able to develop new ideas and solutions to client problem
