Location: The successful candidate will have the opportunity to work in a hybrid environment; working remote as well as at the closest office location.

About the opportunity

The role is of Facilities Coordinator/Admin Support to be based in Singapore. Will be a contract role for 6 Months

What you\xe2\x80\x99ll get to do

  • Facilitate contract / price negotiations with office vendors and service providers
  • Facilitate vendor evaluation and working with procurement for onboarding of new vendor and renewal of existing vendor
  • Maintenance of Audit reports and evidence for audits such as CCTV download/backup, vendor performance, report reviews & approvals, card inventory, Monitor 52PPM calendar etc
  • Provide Admin support to Management team in expense claim, travel booking etc
  • Arranging of travel and visa related matters for local and overseas employees
  • Facilitate internal events such as townhall, workshop and lunches, organizing refreshments for internal and external meetings.
  • Compilation / updating of data for reports
  • Facilitate the HR Team on onboarding and offboarding of employees
  • Responsible for office repair and maintenance schedule
  • Secondary cover for all aspects of reception
  • Answering phones and screening of calls in a professional manner. Able to take down messages quickly and accurately
  • Greet clients and visitors with a positive and helpful attitude
  • Assisting clients and visitors in finding their way around the office
  • Assisting queries from employees
  • Sorting, franking and distributing of mails
  • Arranging of local and overseas courier
  • Preparing of meeting and training room as and when necessary
  • Accounting tasks such as sending of invoices to Finance, banking of cheques, getting bank endorsement etc
  • Any other duties assigned by your Manager

Skills and experience we value

  • GCE \xe2\x80\x98O\xe2\x80\x99 / Diploma or equivalent
  • Minimum of 5 years relevant experience in facilities management or admin support
  • Relevant experience with internal & external audits, ISO audit is an advantage
  • Good telephone etiquette and customer service oriented.
  • Problem-solving mindset, Independent, fast learner and meticulous.
  • Excellent written and verbal communication skills.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • Good time management skills and able to multi-task from time to time.
  • Able to work in a fast-paced environment
  • Able to contribute positively as part of a team, helping out with various tasks as required.
