Principal Accountabilities
Oversee the soft services operations of all building systems and ensure they run efficiently, safely and cost-effectively. He/she is also responsible for achieving excellence in critical environment maintenance management program at client\xe2\x80\x99s premise, ensuring highest standards delivered and best practices implemented. To ensure that the clients are provided with a high standard of service at all times.
To achieve financial and other KPIs established by Manager.
Delivery of services in accordance with the Master Service Agreement
Develop an understanding of and sound working relationships with key representatives of the client and all key suppliers\xe2\x80\x99 / service providers to the site.
Duties & Responsibilities
Client / Stakeholder Management
Deliver excellent customer service to meet on-site client\xe2\x80\x99s expectations
Build and develop effective relationships with key stakeholders &/or client and be comfortable working across all levels
Monitor procedures to ensure client\xe2\x80\x99s expectations are conveyed and worked upon.
Procurement & Vendor Management
Manage multiple vendors including hard and soft skills to deliver services on time and within budget.
Manage vendor procurement processes in accordance with agreed client procurement guidelines as well as Jones Lang LaSalle procurement best practices.
Ensure routine meetings are carried out to manage key vendor performances
Finance Budget & Admin management
Work with manager to track spending, vendor cost and plan of finance budgets.
Ensure timely submission of finance report / billing
Track, collate and submit of vendor cost and invoices for reporting
Source and prepare quote for submission to client
Provide administrative support to the team as required
Raising of PO/PR and GR timely once service delivered/completed
Tracking/monitor of open PO and close balance where necessary
Ensure invoice raise/submit timely to ensure AR/AP within payment term
Contracts Management
Ensure that all contracts are professionally delivered in line with the Jones Lang LaSalle Code of Ethics
Continually assess contracts to ensure best value delivered to the client
Site Operations Management
Responsible for site facilities service operation, implement Industry Best Practice operations
Establish Services Standard Operating procedures and roll out, including yearly updates
Assist and monitor to ensure all building procedures and performance measures are maintained at all times
Responsible all aspect of services not limited to Janitorial, interior plants, pest control, event, meeting room booking, pantry and cleanroom consumables.
Provide support to cleaning team as required
Main contact person for all soft services matters
Seek ways to reduce costs and improve operational standards
Conduct inspection of premises
Responsible for delivery of services in accordance with Client Management SLA
Ensure compliance with all governmental regulations
The point of contact for technical issue at the site.
Carry out measure of vendor performance quality on a quarterly basis (soft services)
Initiate and maintain recurring works program, update and track of 52 weeks planner.
Coordinate with stakeholders to ensure smooth delivery of programs and procedures Procurement & Vendor Management
Review the maintenance/service practices of Soft Services vendors to deliver quality work practices in line with the manufacturer recommendations, established processes, tools and documentation
Support plan, manage and track of budgets for Operational contracts
Ensure proper documentation and adherence for soft services to the established change management controls for all sites
Adhere to JLL\xe2\x80\x99s business conduct by ensuring compliance with the firm\xe2\x80\x99s guidelines, procedures and strategies Site Operations
Health & Safety Management
Implement and manage safety procedures to ensure the provision of a safe working environment
Ensure full compliance with statutory regulations on fire, health and safety standards.
Protect the health and safety of staff and others by adhering to and developing guidelines and strategies
Conduct audits to ensure that all safety procedures, including disaster recovery and business continuity plan and escalation procedures are in place and maintained
Participates in client-initiated EHS, BCP and ERT programs
Risk / Incident / Emergency Management
Assist in the implementation and management of a property risk management program.
Follow established escalation procedures and incident reporting procedures
Adhere to Jones Lang LaSalle\xe2\x80\x99s business conduct by ensuring compliance with the firm\xe2\x80\x99s guidelines, procedures and strategies
24/7 emergency call support and site attendance is required.
Achieve Key Performance Indicators and Service Level Agreement targets Emergency Call Out
Maintain register of all call outs and prepare incident reports
Energy Management & Sustainability Management
Support the development and implement of innovation programs and processes that reduce utility costs, increase productivity and savings and share learnings with the wider EOS community at JLL
Support the deliver and drive - Green initiative / Energy saving / Improvement projects and program.
Continuous optimization of processes, tools and documentation
Key Performance Measures
Meet and support Account KPI / SLA targets
Reporting (as assigned) is accurate and delivered on time
End-user satisfaction surveys are at a high level
Compliance with JLL standards, processes, and audit requirements for service lines under responsibility
Reporting requirement
Prepare and collate IFM reporting as required and on a timely basis
Prepare and collate Finance report as required and on a timely basis
Prepare, track vendor cost as required for reporting
Assist in track and prepare of budgets for approval
Prepare and submit billing on a timely basis
Provide monthly operation and maintenance report to client
Requirements
At least 2 to 3 years\xe2\x80\x99 experience in managing soft services in semiconductor industry or cleanroom environment
Knowledge of finance and administrative work
Knowledge of local health and occupational safety requirements
Good communication and organizational safety requirements
Proactive with good working attitude, team player and work with other members of the team to meet all key performance indicators as set out in the management contract.
Pleasant disposition and must be able to interact with client.
Good command in spoken and written English
