Facilities Coordinator

Work Dynamics - Integrated Facilities Management

Workplace & Facilities Management

  • Act as the single point of contact for the delivery of Facilities Management (FM) services to the client for the location
  • Implement regional JLL initiatives such as the JCAP Compliance Review, Ops AIDE Audit, participate in training programs (Safety Week, EOS Back-to-Basics) and other initiatives as appropriate.
  • Drive client specific initiatives such as savings targets, energy management, benchmarking, sustainability, etc.
Day-to-day management of all operational & financial aspects of Client\xe2\x80\x99s workplace environments, 3rd party vendor management and Client\xe2\x80\x99s business unit liaison with respect to service levels, including the following:
  • Proactively develop and manage the relationship with the occupier and client to ensure service delivery expectations are exceeded.
  • Manage and support security access system for the designated building and portfolio to ensure compliance with agreed standards
  • Monitor & manage building cleaning standards across the building, ensuring regular inspection & contractor performance evaluations occur.
  • Undertake daily/weekly workplace inspections in line with the agreed program, ensuring the work items are actioned upon through PSC/Corrigo or ad-hoc requests.
  • Draft recommendation for the Hub Facilities Manager\xe2\x80\x99s review on the implementation of workplace asset replacement / refurbishment works / FM Capital Plan in line with the agreed lifecycle / workplace conditions
  • Regular interaction with Client\xe2\x80\x99s key business unit contacts
  • Complaints management in relation to service provider managed functions (e.g. cleaning, mailroom)
  • Conduct regular client feedback questionnaires in line with the agreed regime and provide data analysis to highlight continuous improvement opportunities.
  • Co-ordinate & manage the timely instigation of fire wardens / first aid training programs
  • Interaction with business units to maintain warden & first aid schedules.
  • Preparation & issue of regular building notifications to internal business units
Manage and oversee the following services:
  • Property Service Centre (PSC/Corrigo) Help Desk request management and ensure and all requests are actioned and completed on time accordingly.
  • Vendors management and contract management
  • Incident Reporting & Escalation
  • Technical support for move management and minor works support
  • Fixed Asset Inventory for facilities related assets
  • Preventive maintenance program (Corrigo PPM) of Client owned equipment
  • Reactive maintenance tasks of Client owned equipment
  • Ensure that statutory compliance is adhered to and that relevant certificates and periodic inspections are conducted;
  • Monitor the quality assurance of all maintenance tasks.
  • Ensure compliance with all Health & Safety, environment and risk management policies and procedures that relate to the assigned properties.
  • Weekly or biweekly meetings with reporting FM to ensure vendor partners meet service expectations and compliance standards. Ensure hard service vendors\xe2\x80\x99 budgets and finances are up to date and accruals are recorded accurately.
  • Conduct weekly meetings with the Site Lead to ensure that service levels within their areas of responsibilities are being met and those issues are escalated where necessary.
  • Actively encourage an environment that supports teamwork, cooperation, performance excellence and personal success.
  • Be on-call after hours for emergency response to sites and building maintenance issues.
Financial Management
  • Compilation of appropriate financial commitment data to support the annual property budget process.
  • Completion of monthly accrual & forecast information to support the month-end financial processes
  • Regularly review the level of operating expenses and implement any cost savings that may be achieved consistent with the overall asset management objectives ensuring adherence to property specific limits of authority.
  • Assist with the preparation of recommendation papers and seek client property cost approvals for all expenses within designated areas of responsibility in line with limits of delegation
