Facilities Coordinator
Work Dynamics - Integrated Facilities Management
What this job involves \xe2\x80\x93
Coordinate the facilities management in a mix of Owned Properties and within the designated portfolio. Support the service delivery functions of Government Client tenants and Facilities Managers.
Administration & Coordination of facilities management
Coordination of facilities management as delegated by the Facilities Manager
Assist Facilities Manager to ensure any difficulties on sites are resolved promptly with minimum disruption to business as usual activities
Work in conjunction with PSC and service providers to manage escalations with regard to contractor performance and / or client complaint / escalations and ensuring works are completed in a timely manner
Logging and follow up work requests under direction from Facilities Managers
Partnering with the Entities/Stakeholder(s)
Deliver excellent customer service to meet stakeholders expectations
Build and develop effective relationships
Ensuring everyone stays safe
Follow established escalation procedures and incident reporting procedures
Adhere to JLL\xe2\x80\x99s business conduct by ensuring compliance with the firm\xe2\x80\x99s guidelines, procedures and strategies
Ensure that engaged contractors adhere to all safety regulations while in the premises
Use and maintain a Property database
Preparedness to develop a strong understanding of the various property management database systems
Complete, update and maintain applicable web-based management information systems, including uploading various property documentation

Possess, administration and communication skills and have a strong customer service focus.
Proactive with a keen eye for detail and the ability to balance multiple priorities ability to deal with a variety of issues concurrently, within tight operational deadlines
Knowledge or exposure to building/facilities management would be advantageous although not essential
Comfortable with simple hands-on work would be advantageous
Highly organised with verbal and written communication skills
Efficient keyboard and data entry skills
Proficiency with Microsoft Word, PowerPoint, Excel, Outlook and Internet research skills
Ability to work with minimal supervision and grasp new concepts
Excellent client service and communication skills
Strong communicator \xe2\x80\x93possesses strong verbal & written communication, also an active listener
Self-motivated & confident
Flexible \xe2\x80\x93 able to adapt to rapidly changing situations
