Reports To: Director of Food and Beverage

Summary:

The Food and Beverage Administrative Assistant is responsible for providing administrative support to the Food and Beverage department. This includes tasks such as answering phones, scheduling appointments, preparing reports, and maintaining files. The ideal candidate will be organized, efficient, and have excellent customer service skills.

Essential Duties and Responsibilities not restricted to:

  • Answer phones and direct calls to the appropriate staff members
  • Receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing
  • Schedule appointments and maintain calendars for Director of Food and Beverage
  • Prepare reports and presentations
  • Maintain files and records
  • Order supplies and equipment
  • Assist with special events and promotions
  • Research abilities and strong communication skills with active participation on special projects in Food and Beverage division.
  • Assist with F&B Pop Up Desk daily operation, logistic, deliveries (E.g CNY, Mooncake, Festive Takeaways etc).
  • Prepare for New Management team member who will be on boarding with their name card, email, system request etc.
  • Assist F&B outlets with menu changes by compiling the changes required and work with Public Relations team member and / or printers.
  • Coordinate with Room Reservation and Airport Pick Up when there is any Guest Chef or Guest Bartender who will be working in the F&B outlet.
  • Work with Dining Reservation team member to ensure F&B Fact Sheet and website information are up-to-date.
  • Ensure to follow up closely with each project timeline.
  • Other duties as assigned
