Context of the role Reporting to the Group Chief People Officer this role will be responsible for leading our Workplace Experience teams globally ensuring smooth operations of all our offices and a positive and collaborative office work experience for all employees. Responsibilities: Office Management

  • Through leading a team of Workplace professionals you will ensure that our > 15 offices globally are well-maintained and properly managed, including overseeing office maintenance, landlord relations, finance and budgeting, supplier management, lease renewals, contract negotiations and office refurbishments
  • Directly responsible for the day-to-day management of the Singapore HQ office
  • Responsible for the opening of new offices around the world as we continue to expand
  • Manage office support activities, including overseeing stationery and pantry supplies, post/courier services, locker and building access cards etc.
  • Ensure office health and safety by administering workplace safety measures and ensuring compliance with local legislation
Workplace Experience
  • Design and execute a workplace experience strategy to ensure employees have a positive and productive experience in the office. Ensure we have the right office environment to foster a culture of collaboration and team work. Offer a true value proposition to position working from the office as an attractive and preferred option
    versus working from home
  • Design and manage, through a team of Workplace professionals, a schedule of exciting workplace events and activities in all of our global offices
  • Assist in organising internal employee events not owned by Workplace Experience (i.e. sales conferences, management meetings etc.)
Travel Management
  • Responsibility for all global travel, travel processes/policies and third party relationships, through the management of a dedicated Global Travel Manager in the team
Team Management
  • Manage the team, spread out across the world, responsible for delivering our workplace experience, office management and global travel services, providing guidance and coaching where needed
Budget Management
  • Oversee global budget for Workplace Experience and Travel and partner with Finance to ensure budgets are approved and managed
  • Manage Workplace expenses and invoices, and support finance with a monthly recharge process
Requirements:
  • Bachelors degree in business administration, communication or any related field.
  • 10+ years of working experience with expertise in both office management and workplace experience
  • Experience managing a team of distributed employees
  • Experience putting together budgets and partnering with finance to manage these
  • Strong negotiation skills and vendor management experience
  • Excellent attention to detail and analytical decision-making skills.
  • Ability to analyse data and work with numbers to support decision making
  • Strong organisation and time management skills, with the ability to work under pressure and manage priorities
  • Experience working in multi-cultural environments with significant experience working for European or US businesses
  • Results-driven and process-oriented, with a strong sense of service and the ability to manage multiple tasks simultaneously
  • A strong team player with good interpersonal skills and able to interact constructively, efficiently and effectively with different stakeholders
  • Excellent written and verbal communication skills in English
  • Ability to work across multiple time zones, the work would include a degree of flexibility to conduct meetings outside of regular office hours
  • Ability to travel, from time to time, to our key office locations or locations for planned new office openings
  • Proficient in Microsoft Office, Gmail, and GDocs
