Roles & Responsibilities Role HR and Office Admin Assistant is responsible for supporting the day to day HR functions, manages the commercial building and its facilities maintenance, and ensure smooth running of an office.
Responsibilities
Human Resources

  • Support the full spectrum of HR functions for Singapore and Southeast Asia region
  • Preparation of HR related documentation
  • Organise and administer the on-boarding and off-boarding program
  • Conduct the employee orientation and induction
  • Manages the Southeast Asia group insurance within the region
  • Support HR activities and initiatives

Commercial building maintenance
  • Plan, coordinate and oversee regular building maintenance and repairs
  • Manages the housekeeping and security staff and their activities through 3rd party service providers
  • Negotiate, liaise and manages the relationship with contractors and 3rd party service providers
  • Preparation and submission of documents to authorities
  • Be the main point of contact for tenants on inquiries/requests, and work with office management to resolve any problems or issues
  • Track expenses, report the progress and assigning schedules
  • Ensure the facilities meet regulatory standards and codes with 3rd party service providers and authorities
  • Ad hor admin work in relation to commercial building matters

Office Admin
  • Manage the office maintenance and coordinate repair works with contractors
  • Source, review and liaise with contractors/suppliers on office matters
  • Responsible for office stationery and transport arrangements
  • Setup and keep record of office security access
  • Track progress and keeping proper records
  • Preparation and submission of monthly expenses and travel arrangement for key management
  • Support other general office matters

Requirements
  • Diploma in business administration and/or human resource management with 3 years of working experience preferred
  • Independent, multitasking and prioritize workload, work with minimal supervision with initiative and resourcefulness, respond to requests in a timely manner within deadlines
  • Strong critical thinking, problem-solving and negotiation skills
  • Excellent time management, organizational and interpersonal skills
  • Ability to demonstrate good judgment to effectively deal with stakeholders, tactful and high level of discretion in dealing with confidential and sensitive matters.
  • Excellent English language, both written and oral communication skills
  • Be an effective team player with a positive attitude
  • Proficiency in Microsoft Office and Outlook
