Steamship Mutual is a P&I insurance company, with 210 employees worldwide. The main office is based near Liverpool Street station, London. We have offices in Bermuda, Brazil, Cyprus, Greece, Hong Kong, Japan and Singapore.

Job Purpose:

To support the HR Manager in providing a recruitment and generalist HR support to the Asian market business.

The role will have a primary focus of providing HR generalist advice, being responsible for all Asian market recruitment, onboarding and employee engagement. This role will suit someone who understands that they are first point of contact for people joining the company and understands the importance of creating active engagement touch points for employees. Building effective relationships across the business will be essential.

Requirements

Talent Acquisition

  • Work with client groups to forecast recruitment needs on a monthly, quarterly, yearly basis
  • Manage relationships with internal stakeholders including meeting to discuss future sourcing needs and volumes, taking briefs of roles, discussing feedback on candidates, and exploring ways of getting the right hire
  • Manage the full recruitment process from posting job advertisements to making job offers
  • Assist with producing job descriptions and identifying key competencies of the role
  • Create interviews packs and ensure that managers are provided with the relevant pack when conducting an interview
  • Manage candidate relationships from application to offer acceptance
  • Prepare interview guides and tests alongside the hiring managers
  • Produce reports on time to hire, costs per hire and relating factors affecting recruitment
  • Keep up to date with market trends and provide analysis to the HR team and hiring managers when required
  • Manage and create the internet careers pages and ensure content of adverts and descriptions are accurate
  • Collate guidelines and effective interview questions/competency tests for each department
  • Monitor and identify recruitment trends and review salary and benefits on a regular basis to ensure consistency with the market and keep up to date with market trends
  • Administer and maintain the TeamSeer absent management system for the regional offices.
  • Maintain and update the Company organisation charts on SharePoint.
  • Maintain and update the signing authority levels on SharePoint
  • Administration for staff induction, onboarding and probation at three month and six months.
  • Provide administration support for flexible work/ family friendly applications.
  • Administration for staff taking maternity leave.
  • Responsibility for the staff Weekend duty rota in Asia Maintain the Gifts to Staff schedule.
  • Maintain up to date address and telephone details for staff on the system/ manual records.
  • Renewal of practising certificates for professional staff.
  • Administration of Secondee agreements, confidentiality agreements and payment of invoices for secondee cover.
  • Provide employment references for staff applying for loans, mortgages, rentals etc.
  • Arrange DBS and Credit checks for Board Members, Directors and Staff where necessary
  • Book people on professional training courses
  • Monitoring of exam results and advising Directors accordingly.
  • Co-ordinate future training i.e. act on requests for training, arrange courses and evaluate once training is completed.
  • Responsible for administration of the IGP&I Course. Arrange exams taken at SIMSL offices for staff sitting IGP&I modules twice a year. Set up workshops for students and arrange study groups.
  • Handle all disciplinary and grievances within the Asia region.
  • Update recruitment statistics monthly, including name and number of CVs received, 1st and 2nd interviews conducted, candidate summaries, test results and outcome
  • Manage agency preferred suppliers list and negotiate rates on an annual basis
Generalist support

Payroll
  • Manage payroll for all offices within the Asian region including starter and leaver calculations
  • Assist the Compensation & Benefits officer to administer, develop and manage benefits in the Asian region.
Other
  • Any other duties appropriate to the grade and level of responsibility of this post, for which the post holder has the necessary experience and/or training
  • Be aware of the firm\xe2\x80\x99s risk management and practice assurance procedures and ensure compliance.
Key Technical Skills and Knowledge Required:
  • Must have previous Recruitment experience of both administration and technical roles and extensive HR generalist experience
  • Excellent interpersonal skills- loves interacting with people
  • Good eye for detail and accuracy, organised and methodical
  • Self-starter
  • Resilient and able to work at pace
  • Intermediate excel, and word user comfortable in report production
  • Experience of using ATS and HRIS systems (we use IRISHR and Workable)
  • Team Player
  • Experience of working with international offices (Hong Kong, Japan Singapore desirable)
  • Eligibility to work in Singapore or Hong Kong
