Job Description


Job PurposeThe job is responsible for providing transactional and administrative support at GELS to ensure accurate, effective and efficient Finance and Procurement operations. The job is carry out transactional tasks that have to be performed at GELS, thereby ensuring that other related end-to-end processes can be completed in a timely manner.The job is also responsible to manage the Marex budget, to work with OCBC or Vendors for cost saving for recurring maintenance. Administrative the recurring maintenance to ensure maintenance is on time to support the Business continuity. Administrative the IT Asset Inventory to ensure accuracy of Software/Hardware inventory positionThe Job

  • Responsible to establish best practices maintain IT Asset via Asset Management System
  • Build and reconcile asset inventory using multiple discovery sources
  • Track the complete life cycle of assets
  • Manage software and licenses in one place
  • Conduct IT asset annual List-to-Floor stock-take
  • Works with IT vendors to purchase hardware, software, and devices. Coordinates computer lifecycle replacement and management. Oversees computer and device inventory for online classes. Handles Enterprise Software license and software maintenance renewals.
  • Responsible for providing operational oversight of procurement operations processing, compliance, and problem solving of various types relating to procure-to-pay transactions including requisitions, purchase orders and payment requests
  • To create a buying strategy that takes into account the company budget and necessary supplies and then they find matching vendors.
  • Helps organizations by boosting vendor compliance, cutting savings erosion, improving discount capture using preferred suppliers, and in confirming pricing and terms prior to payment.
  • Responsible for the following activities for Procurement:
  • Prepare requisitions and purchase orders
  • Monitor order expenses
  • Communicate performances and costs to management
  • Recommend new processes or systems for improvement; implement new ideas and strategies
  • Organize and schedule procurements in a timely manner
  • Communicate with vendors, clients, customers, team members, and managers to align goals
  • To maintain Operational Excellence
  • Ensure quality and accurate delivery of services within agree KPI and SLAs
  • Ensure adherence to guidelines and polcies set by Finance
  • Maintain integrity of data and ensure information accuracy
  • Support internal controls to ensure proper use of procurement guidelines
  • Takes accountability in considering business and regulatory compliance risks and takes appropriate steps to mitigate the risks.
  • Maintains awareness of industry trends on regulatory compliance, emerging threats and technologies in order to understand the risk and better safeguard the company.
