SUMMARY OF THE POSITION



This position is the highest position in the Admissions and Student Services team within the Academic Division at TMC.


The Manager, Student Admissions and Services is responsible for overseeing all aspects of student admissions and student services functions to ensure efficient, compliant, and high-quality support for both new and continuing students. The position ensures that all admission procedures comply with internal policies, regulatory requirements, and partner institution standards, while maintaining a high level of service to students, agents, and stakeholders.


This role provides leadership and guidance to the admissions and student services team, ensuring smooth integration of administrative processes from initial enquiry through to graduation.

ESSENTIAL SELECTION CRITERIA

1.1 Educational Qualification for the Position


A degree or post graduate diploma with at least

5 years of relevant experience

in an educational institution or equivalent environment. Proven experience in

managing teams, overseeing administrative processes, or leading educational programs.

Excellent written and verbal

English communication skills,

with the ability to communicate effectively with staff, students, senior management, and external stakeholders.

1.4 Special Requirements


A flexible approach to working hours is necessary as some activities may require an extension of working hours. Able to perform shift duties. The workflow of the department may affect the time of the year when annual leave may be taken.

KEY RESPONSIBILITIES



2.1 Manager, Admissions and Student Services operations


Oversee the end-to-end workflows for Student Admissions and Student Services, ensuring all processes are completed accurately, efficiently, and in compliance with institutional policies and regulatory requirements. Supervise and support executive staff, providing guidance, performance management, and escalation support for complex cases or system issues. Monitor and review processes related to student applications, enrolments, contracts, student passes, and Fee Protection Scheme (FPS) documentation to ensure timeliness and accuracy. Ensure compliance with regulatory authorities, including the Immigration and Checkpoints Authority (ICA), and respond promptly to any queries or documentation requirements. Coordinate inter-department collaboration between Student Services and Admissions to improve operational efficiency, service quality, and staff performance. Ensure that all student records and documentation are maintained securely, accurately, and in support of internal audits and assessments. Continuously review and implement process improvements to enhance service delivery, operational efficiency, and compliance. Undertake other duties as assigned by the Chief Academic Officer.
2.2 Supervision on Course Administration


Oversee all aspects of

course administration

, ensuring accuracy, compliance, and alignment with institutional and regulatory requirements. Supervise the processing of

student enrolments, contracts, study break requests, refunds, and fee protection arrangements.

Manage the communication and coordination of

examination schedules, class timetables, and course-related information

to students through official channels. Monitor

student attendance, fee payments, and academic records,

ensuring appropriate follow-up and intervention where necessary. Provide leadership and guidance to staff responsible for

course administration tasks,

including orientation support, data management, and front-line services. Coordinate and support

internal audits, assessments, and feedback processes

to maintain high academic and administrative standards. Supervise and develop departmental staff, ensuring

efficient workflows, high service quality, and adherence to institutional policies.

Undertake other duties related to course administration as assigned by the

Chief Academic Officer.


2.3 Manager, Internship Administration


Oversee the end-to-end internship administration process, ensuring alignment with institutional policies and academic requirements. Supervise staff responsible for sourcing and coordinating internship opportunities with partner companies. Ensure students' Curriculum Vitae, application materials, and supportive documents are accurately prepared and submitted to host companies. Monitor the collection and review of company evaluation reports, ensuring timely and accurate recording of student internship outcomes. Develop and maintain relationships with industry partners to enhance internship opportunities and program quality. Identify areas for process improvement in internship placement and administration, implementing changes to increase efficiency and student satisfaction. Provide guidance and support to staff for complex cases or escalations related to internship placements. Undertake other duties related to internship administration as assigned by the Chief Academic Officer.
2.4 Manager, Graduation Ceremony Support


Oversee the Admissions and Student Services team's role in supporting graduation ceremonies, ensuring all assigned tasks are completed accurately and on time. Coordinate staff involvement in student verification, certificate distribution, and logistical support, in collaboration with Academic Support. Ensure smooth communication between departments, students, and vendors for graduation-related processes where Admissions and Student Services are involved. Monitor the preparation and accuracy of student records, eligibility lists, and documentation for the ceremony. Provide guidance and supervision to staff assisting with ceremony logistics, on-site coordination, and post-event follow-up. Identify opportunities to improve coordination and efficiency of Admissions and Student Services support for graduation events. Ensure all activities comply with institutional policies and timelines, escalating issues to Academic Support or the Chief Academic Officer as required. * Undertake other duties related to graduation support as assigned by the Chief Academic Officer.
