Broad Function

The Internal Optimization Specialist plays a critical role in enhancing the efficiency, collaboration, and overall effectiveness of our organization by leveraging the capabilities of the Office 365 suite. SharePoint

We require a self-starter, an individual who has the drive and passion to be involved in analyzing business processes, identifying areas for improvement, and implementing solutions using MS Office 365 tools to streamline workflows, enhance communication, and drive productivity.

Requirements:

  • Bachelor\'s degree in information technology, Computer Science, Business Administration, or a related field graduated with NUS, NTU or SMU university.
  • Proven 2-3 years of working experience in data analytics and also with Office 365 suite, including MS OFFICE 365, SharePoint, Teams, Power Automate, and PowerApps.
  • Strong understanding of business processes and workflow optimization.
  • Excellent problem-solving skills and ability to translate business requirements into technical solutions.
  • Effective communication skills to collaborate with cross-functional teams and deliver training.
  • Attention to detail and commitment to maintaining data integrity and security.
  • Relevant certifications such as Microsoft 365 Certified: Fundamentals or Microsoft 365 Certified: Modern Desktop Administrator Associate are advantageous
Key Responsibilities:

Process Analysis and Improvement
  • Collaborate with various departments to understand existing processes and workflows.
  • Analyse business requirements and translate them into technical requirements.
  • Identify inefficiencies, bottlenecks, and areas for improvement within these processes.
  • Propose, design, develop and implement software automation solutions to streamline and optimize processes.
Office 365 Implementation
  • Utilize Office 365 tools such as SharePoint, Teams, Power Automate, and MS Flow / PowerApps to create solutions that align with business needs.
  • Configure SharePoint sites and document libraries for efficient document management, version control, and collaboration.
  • Set up Teams channels, chatbots, and integrations to enhance communication and collaboration across teams.
  • Develop custom MS Flow / Power Automate flows and PowerApps to automate repetitive tasks and create user-friendly applications.
  • Experience in setting up Multi-Approval workflows with MS Flow / Power Automate
  • \xe2\x80\xa2 Develop and maintain project documentation, including requirements, functional specifications, and user manuals
  • Official Microsoft Certification is preferred \xe2\x80\xa2 RPA experience (UIPath etc) would be idea
Training and Support:
  • Provide training and guidance to employees on effectively using Office 365 tools to improve their workflow.
  • Address user\'s questions, troubleshoot issues, and provide technical support for software solutions
Data Analysis and Reporting
  • Collect and analyze data related to the usage and effectiveness of implemented Office 365 solutions.
  • Create reports, dashboards and visualisations to effectively communicate data-driven insights to various stakeholders.
  • Present findings and recommendations to stakeholders in an accurate and concise manner and continuously refine reporting processes to improve accuracy, efficiency and effectiveness of data.
Security and Compliance
  • Ensure that all implemented solutions adhere to security and compliance standards.
  • Collaborate with IT and security teams to implement necessary controls and safeguards
Continuous Improvement
  • Stay updated on the latest features and updates within the Office 365 suite.
  • Proactively identify opportunities for ongoing optimizations and enhancements based on changing business needs.

  • Transport provided at Boon Lay MRT
  • Salary between $5,000 - $6,500
