Office Administrator (12-months contract with potential conversion to a permanent employment)

Roles & Responsibilities:

  • Responsible for end-to-end business travel and expense arrangement for the Vice President of Asia that includes and not limited to flight arrangement, itinerary, agenda update, liaising with partners, escalation for approval to timely expense claim submission
  • Responsible for office management that includes and not limited to office amenities maintenance, supplies replenishment, outsource vendor management to courier service arrangement to closing up the purchasing orders processing
  • Serves as the Office Single Point of Contact (SPOC) and the interface between Information Technology and local team on general IT hardware,
  • Render support in travel visas, accommodation, transport for visitors to Singapore and other Asia offices when needed.
  • A member of the employee engagement committee and support in the rolling out of recreation initiatives
  • Answering the general business line and handling queries and attend to walk-in visitors when necessary
  • Partner with safety champion and serves as the contact point between building management and office. Liaise with building management on all office and facility related matters, ensuring uninterrupted operations working environment. Support the function in coordinating Safety walks, updating the local offices on notices on Safety Issues, Procedures and Policies. Ensuring that office environment is safe and vendors are registered prior for work in the office.
Qualifications and Experience:
  • Diploma in any discipline with 5 years of progressive experience in a similar role preferably from multi-national set up
  • Proficiency in Microsoft Office (Excel, Word, and PowerPoint)
  • Results driven, customer oriented, meticulous and able to multitask .
  • Great team player with good interpersonal communication skills
