Brand Essence: Advocates of extraordinary spirits About You You are highly organized and strong in processes, always thinking two steps ahead, and highly sensitive to various stakeholders' needs. As a discerning HR professional, you are conscious of the importance of your role and its impact on the CEO, management team, and the company's culture and talent matters. You have excellent communication skills and can relate to employees of all levels, all while managing external vendors and partners professionally. About the Role As Office Manager and Executive Assistant to the CEO, you will be THE gatekeeper of the CEO's schedule and availability, maintaining the office environment and being the point of contact for key partners and vendors. You will also be the culture gatekeeper, organizing company-wide events and supporting the incoming Head of Culture with Talent administration. You will report to the CEO initially and will report to the APAC Head of Culture subsequently and be dotted to the CEO. Responsibilities include (but are not limited to): . Office Management . Build and maintain relationships with various vendors, suppliers, contractors, and office building management . Monitor and maintain sufficient stock for office supplies and consumables e.g. stationery, pantry items, etc. . Manage office assets (hardware, software, licenses) and maintain accurate records, subscriptions, warranties, and due dates . Responsible for all company license applications/renewals with various government authorities . Manage office postal and courier services . Greet and attend to visitors . Organize, prepare and disseminate updates and information across the Company as and when required . Organize and maintain filing of hardcopy documents and keep a proper record of the respective softcopy . General office management . Other ad-hoc duties as assigned Culture/HR - report to Head of Culture in Q1 2023 . Organizing company events . Support employees' onboarding and offboarding process . Work closely with all departments and colleagues for various projects as assigned . Be the go-to person for new employees Executive Assistant to CEO . Schedule meetings, facilitate meeting document preparation, collate information and internal slides, take minutes of meetings . Assist in the preparation of slides for presentations . Secretarial support such as calendar management, itineraries, and bookings for business trips Familiarise with the CEO's calendar and working style, and preempt any prior preparatory work The Ideal Candidate: . Diploma or above in Business Administration/Human Resources, or relevant discipline. . 3 years of direct work experience in an HR/executive assistant capacity. . Strong knowledge of Microsoft Office products, including Outlook, Excel, Word, and PowerPoint. . Familiarity with OneDrive is a plus . Familiarity with GoBusiness is a plus . Strong written and verbal skills to communicate with all levels of the organization and its executive team. . Able to maintain filing systems, databases, and minutes management. . Organized with the ability to prioritize and multi-task . Attention to detail, outstanding communication with a positive mindset . Forward-thinking, always taking into consideration the CEO's needs and working style .
