JOB OVERVIEW: Office Manager/Executive Assistant

We\'re on the lookout for an exceptional Office Manager and Executive Assistant to join our team to play a pivotal role in supporting the day-to-day operations of our client. If you\'re experienced at managing details and someone who can truly "own it" when it comes to taking the lead for our office admin and ops, we would love to connect with you.

KEY RESPONSIBILITIES

Ensure smooth daily running of all office administrative functions

Act as a reliable and conscientious office manager & executive assistant to the managing directors and stakeholders

Manage shared calendars for meetings/events remind team members of upcoming project milestones and ensure timely completion

Schedule and coordinate internal and external meetings

Meticulously organise, file and maintain company documents, SOPs and systems

Research, price compare and liaise with suppliers and vendors for services and contracts and present to management

Monitor and respond to emails on behalf of the company

Assist in planning and coordinating company events

Coordinate tech requirements for meetings, presentations, VCs and all company systems

Address and flag any issues or concerns promptly with a solutions-oriented mindset

Be responsible for Google Drive and G-Suite

Project management monitors project timelines and deliverables, ensuring that deadlines are met

Collaborate with the brand team to assist with design projects and produce marketing collateral

Assist with creating engaging marketing materials, including brochures, presentations, and digital content for the company

Stay updated and report on industry trends and sector activities

THE IDEAL CANDIDATE

Tech-savvy, experienced and passionate about enhancing organizational productivity, and efficiencies, and continuously driving improvements

Operational mastery in time management and goal setting

Proactive approach and attitude, taking the initiative to complete tasks with minimal supervision

Must be organised and able to collaborate with cross-functional teams

Have a strategic and growth mindset to take initiative on projects and consistently follow through

Demonstrate strong leadership and interpersonal skills

Confident and self assured capable of leading with new ideas and effectively solving problems

Demonstrated ability to work in a fast-paced environment with tight deadlines

Effectively communicate and collaborate with cross-functional teams

QUALIFICATIONS

Bachelor\'s degree in Marketing, Business, or a related field is preferred but a degree is not essential if you\'re a high-performing outcome focused operator

8+ years of experience

Preferred industry experience in fashion, lifestyle, design, F&B

Deep knowledge of Google Drive and G-Suite is a must

Exceptional organisational and time management skills

Experience working with a start-up is a plus

Strong communication and interpersonal abilities

Strong interest in the hospitality, F&B and events industry
