OBJECTIVE / PURPOSE OF THE DEPARTMENT * As part of Geodis Integrated Solutions, the GEODIS Ocean Freight team offers efficient and timely ocean freight import and export transportation services, se OBJECTIVE / PURPOSE OF THE DEPARTMENT As part of Geodis Integrated Solutions, the GEODIS Ocean Freight team offers efficient and timely ocean freight import and export transportation services, selecting the most suitable carriers for on time services. To ensure all compliances within and outside the department OBJECTIVE / PURPOSE OF THE JOB The role of the operations executive is to support the operations of team and of Grundfos Implant. DIMENSIONS AND QUANTITIES Comply with KPIs and objective KEY ACTIVITIES / ACCOUNTABILITIES Responsibilities will largely depend on the employees capacities but include (or may include) : Book shipments and provide shipping details, follow up until completion Assist in checking and verifying shipment detail are in order Investigate and provide corrective actions for customer complaints relating to the shipments. Ensure GRUNDFOS receive the export B/L & Permit and Form D Assist Grundfos in any relevant tasks and issues as required. Filing ' full set shipping docs. Iris - shipment booking creation. (Both Sea and Air Shipment) Provide exceptional reports (SOA, Billing, Form D, MES) as required. Provide timely delivery of freight bills and resolve the payment discrepancies if any. Reports are to be sent in a timely manner with accuracy Sorting Geodis invoices including CN to respective division (GSI1, GSI2 & SSG) and verify the invoices to eliminate error and upkeep KPI. To be done on a weekly basis Ensure GRUNDFOS TradeNet Report tally with Geodis monthly permit report Apply ECO, COO, Form D for respective shipment Submit VGM for FCL shipment, and provide PM4 for DG shipment Operational scope Monitor all inbound shipments status and co-ordinate transport arrangement with forwarders, warehouse and/or related department on behalf of Grundfos team to ensure smooth pickup and delivery Co-ordinate warehouse planning and schedule for pick up and receiving. Ensure export BL and/or Air waybills received by customers within 2 working days. Distribute signed packing list (POD) from warehouse to respective Grundfos CS. IRIS trained and pull reports from IRIS whenever required Assist Grundfos Team with follow up on survey for damage shipment Reporting 1) Provide weekly report on non-compliance in transit shipments 2) Check monthly AED compliance 3) Verify customer order fulfilment. 4) Generate Iris reports where needed 5) KPI Reporting - Provide monthly performance data (Pod, Volume, transit time, urgent shipment and damage report) Administrative Filing & dispatching task Assist Grundfos team in any relevant task and issues as required. Work closely with GEODIS internal departments to coordinate customers' shipments. Manage customers complaints and escalate to GEODIS Manager whenever necessary. Provide solutions to customers pertaining to internal processes Build and maintain relationship with customers to fulfil requirements and up keep customer KPIs. Feedback to GEODIS Manager on customer status on fortnightly basis in a form of summarized reports. ESSENTIAL EDUCATIONAL / EXPERIENCE & SKILLS Diploma in any related field (or above) required At least 2 year of working experience in related field is required for this position. Candidates with an understanding of the local freight market (carriers and subcontractors) preferred Competent in basic computer skills and applications (Microsoft Excel, Word, Outlook) Knowledge or competency in CargoWise EDI & Tradenet Skill preferred Good customer service skills Able to work in stressful environment Respond immediately to any urgent inquiries from internal or external. Independent and able to work in a fast-paced environment Local or SGPR only REQUIRED BEHAVIOURAL COMPETENCIES Positive mind-set, toward goal, proactive & innovative Independent and able to work in a fast-paced environment and take ownership of responsibility.
