As an Operations Officer, addressing customer inquiries, resolving issues, and providing updates on permit status to ensure planned deliveries are successfully arranged to End -User.
Key Responsibilities
Liaise with Customer
Monitor the permit status for approval
Engage in close communication with customer
Support in discrepancy handling
Support in handling customer escalations
Validate accuracies of permits
Break Bulk
Ensure to commit to the procedures
Ensure to update and provide daily activity report to TAMs
Maintain professional communication with customers
Close monitoring of permit approvals
Ensure that all customer enquiries are attended timely and professionally
Coordinate with BPO team on permit approvals
Advice immediate superior of any irregularities discovered within the assigned transactions
Coordinate with BPO and colleagues in managing customers' expectations during system downtime
Responsible to assess Customs query for document submission, and submit required supporting documents to SG Customs
Coordinate with relevant government agencies to attend to queries on required supporting documents or information and promptly follow-up to ensure timely approval of permits
Monitor the BPO query/CA Pending trackers daily and prioritise the urgent outstanding jobs
Assist with other duties and tasks assigned by immediate superiors
Requirements:
Prior experience (1-2 years) in logistics operations, preferably in a customer-facing or coordination role
Familiarity with Singapore's customs procedures and regulatory agencies (e.g., Singapore Customs, Controlling Agencies, SFA, IMDA)
Strong interpersonal and communication skills to effectively engage with customers, partners, and internal teams
Proactive and customer-centric mindset with the ability to handle escalations professionally and calmly
High attention to detail and accuracy, especially in validating documents and permits
Able to work independently while maintaining strong collaboration with team members and cross-functional stakeholders
Resilient and adaptable to fast-paced environments and shifting priorities
Positive attitude, willingness to learn, and a hands-on approach to problem-solving
Proficient in Microsoft Office (Excel, Word, Outlook); experience with logistics or permit systems is a plus
Willing and able to work two rotating shifts at customer premises (e.g., morning and night shift)
Comfortable working on-site and engaging in day-to-day operational tasks
