Overview:
Job Summary: The Operations Executive is responsible for overseeing the smooth, cost-effective execution of daily operations within the Youth Centre. This role ensures that all operational activities align with the strategic goals of the centre, with a focus on optimizing processes, maintaining legal compliance, and enhancing service quality. The Operations Executive will lead the team in implementing best practices, managing financial responsibilities, and driving continuous improvements to create a positive environment for both staff and the youth we serve.
Facility Management

• Oversee the upkeep and functionality of the centre's facilities, including electrical systems, plumbing, air-conditioning, and general infrastructure.
• Coordinate with vendors and contractors for regular servicing, repairs, and preventive maintenance.
• Monitor utility usage (electricity, water, air-conditioning) and implement efficiency improvements where possible.
• Ensure facilities meet health, safety, and accessibility standards for youth and visitors.
• Manage maintenance records, service contracts, and compliance checks.

Safety & Security

• Oversee day-to-day operational matters to ensure safety of the centre.
• Work with vendors to maintain and test fire safety systems, including alarms, fire extinguishers, and evacuation drills.
• Develop and implement an Emergency Response Plan and support the planning of the CERT (Company Emergency Response Team).
• Coordinate first aid training for team members and ensure readiness for emergencies.
• Partner with the security company to establish, monitor, and refine security processes.
• Ensure regulatory compliance in areas such as insurance and workplace safety.
• Support sustainability efforts by promoting eco-friendly practices in operations.

Stakeholder Engagement & Service Enhancement

• Collaborate with internal teams, external partners, and community stakeholders to enhance the youth experience at the centre.
• Build strong working relationships with vendors, contractors, and service providers to ensure reliable operations.
• Identify opportunities to improve safety, accessibility, and inclusiveness of the centre environment.

Job Requirements & Qualifications

• Knowledge and interest in Facilities Management, Operations, Safety.
• Prior experience in facilities maintenance, operations, safety management, or emergency preparedness is preferred.
• Strong organizational and problem-solving skills.
• Good interpersonal and communication skills for working with vendors, partners, and youth.
• Able to work both independently and in a team setting.
• Passionate about youth development and creating a safe, supportive environment.
