Job Description


You will assist the Operations Manager in planning and coordinating daily clinic operations activities and resource utilization to ensure efficient and effective management of the clinic.You will supervise a team of non-executive operations/ ancillary staff and be responsible for the following:

  • Clinic Operations
  • Assist in managing and overseeing daily clinic operation functions: monitor, analyse and report daily performances and identify areas of opportunities for improvement to meet desired KPIs
  • Supervise the work of non-executive clinic operation staff and vendors to ensure compliance with policies, procedures and work instructions
  • Supervise the clinic operation team in establishing effective collaborations with other departments, clinics and service partners to support patient care delivery and implementation of new initiatives
  • Ensure timely and proper maintenance of clinic facilities, assets and materials
  • Ensure proper management of cash and revenue.
  • Ensure compliance of PDPA at all times
  • Ensure that the Workplace Safety and Health, Fire Safety and Security measures are effectively in place and in full compliance with requirements
  • Coordinate Emergency Preparedness and Business Continuity activities
  • Service and Quality Improvements
  • Ensure there is proper closure of all feedback received related to clinic operations, facilities and services by conducting investigation and follow up, if necessary
  • Assist in driving service excellence in the clinic, in collaboration with the Service Leadership and Patient Relationships (SLPR) Department
  • Identify areas of service/process improvements, implement relevant action plans and monitor results to drive continuous improvements
  • Participate and support actively in service and quality improvement initiatives
  • Staff Management and Engagement
  • Work closely with the Operations Manager and Assistant/Supervisors in the deployment of manpower and resources to meet the clinic daily operation needs and KPIs
  • To be responsible and administer the Total Performance Management (TPM) of non-executive clinic operation staff from JG4 to JG10, with inputs from the Assistant/ Supervisors.
  • With assistance from Asst./Supervisors, to coach, nurture, engage and empower the non-executive clinic operation staff in their continuous learning and career development
  • Assist in identifying individuals with potential and career aspirations, work together with the clinic operation staff to plan their training and development needs and ensuring there is sufficient development opportunities for succession planning
  • Ensure staff induction, and core training and competency assessment for the clinic non- executive operation staff is carried out and properly recorded.
  • Assist in inculcating the organization and clinic's mission, vision, values and strategic thrusts to the clinic non-executive operation staff
  • With assistance from Assistant/Supervisors, ensure all non-executive clinic operation staff is kept up to date with current information, workflows and progress through regular roll calls and team meetings.
  • SECONDARY RESPONSIBILITIES
To assume other roles and responsibilities as and when directed by the supervisor(s).
