We are seeking a highly organized, proactive, and detail-oriented Operations Support Officer / Admin Assistant to join our team. This dual-role position will provide essential administrative and operational support to ensure the smooth and efficient functioning of our daily activities. The ideal candidate will be a strong communicator, capable of managing multiple tasks, and possess a keen eye for detail, contributing significantly to our operational efficiency and overall team productivity.
Key Responsibilities:
I. Operations Support:
Process Coordination:
Assist in the coordination and monitoring of operational processes, ensuring adherence to established procedures and deadlines.
Data Management:
Maintain and update operational databases, spreadsheets, and other records with accuracy and timeliness. Generate reports as required.
Logistics Support:
Assist with basic logistics coordination, such as tracking deliveries, managing incoming/outgoing shipments, or coordinating internal movement of goods/documents.
Resource Management:
Support in tracking and managing office supplies, equipment, and other resources, ensuring adequate stock levels and proper allocation.
Vendor/Supplier Liaison:
Act as a point of contact for routine communications with vendors or suppliers regarding orders, deliveries, or basic service inquiries.
Problem Resolution:
Assist in identifying and resolving minor operational issues or escalating complex problems to the relevant manager.
Operational Documentation:
Help prepare and maintain operational manuals, standard operating procedures (SOPs), and other relevant documentation.
System Support:
Provide basic support for operational systems or software, including data entry and basic troubleshooting.
Event/Meeting Support:
Assist in the coordination and logistical arrangements for operational meetings, training sessions, or company events.
II. Administrative Assistance:
Scheduling & Calendaring:
Manage calendars, schedule appointments, and arrange meetings for relevant team members or managers.
Document Management:
Organize and maintain physical and electronic filing systems, ensuring documents are easily retrievable and securely stored.
Meeting Support:
Prepare meeting agendas, take minutes during meetings, and distribute action items.
Procurement Support:
Assist with the procurement of office supplies, stationery, and other necessary items, obtaining quotations and processing purchase requests.
Ad-hoc Tasks:
Perform other administrative and operational duties as assigned by management.
