Position Summary: As an Order Analyst on the Caterpillar Logistics team, you\xe2\x80\x99ll have responsibility for ordering, expediting and following-up to assure availability of parts to meet customer requirements on direct ship and non-direct ship part numbers. Job Duties/Responsibilities may include, but are not limited to :
Manage all requests for reports internally and externally, through review on requirement, the ability to support through manual or automated means.
Review and develop reports with management team to enable visibility to different scenarios to support management decision making processes.
Assist the Dealer Services Supervisor in conjunction with district organizations to educate Dealers to maximize the use of ADC\xe2\x80\x99s parts ordering system. Develop methods and procedures to handle parts order proficiently.
Setup Dealer profile, process parts order according to procedures, policies and guidelines set up by CAPL departments, ADC and corporate parts distribution and recommend changes to improve on parts service as required.
Help to communicate with in-house operations and Dealers/Customers to ensure adherence. Demonstrates responsiveness to Customer / Dealer inquires.
Expediting of emergency & stock backorder items and perform manual search, cancellation and uplifting orders.
Help to monitor and balance the release of stock tags relative to shipping schedules, analyze manpower needs and the re-deployment of resources, coordinate and control shipments, help forwarders to provide test-buy services, ensure shipping documents are expeditiously presented and payments promptly realized.
Provide backup support to Dealer Services team for parts order management which includes:-
Researching backorder files, in-transit files, and shipping records to locate urgently needed material and answers inquiries from external and internal customers
Process Customers\' claims on discrepant parts, coordinate investigations, Customers\' returns, credit note issuance to resolve claims and recommend preventive action for reoccurrence.
Communicate and follow-up with Customers on quotations to orders status.
Maintain relevant files and documents in a systematic manner.
Suggest and participate in continuously improving our service level to customers as well as work efficiency and productivity.
Build and maintain good working relation with customers, continuously up keeping customer service standards at its highest level.
Receiving and handling cross dock notices, resolving problems, receiving inquiries relative to status of material ordered, case and shipment inquiries, and tracking material.
The position is the acknowledged specialist within the group and frequently provides interpretation and problem solving advice to internal and external customers.
Any other tasks as and when assigned by supervisors.
Required Qualifications:
Knowledge of facility logistics and the warehouse systems
Bachelor degree in any discipline preferable familiar with Statistics
1 to 2 years of job-related experience are typically required
Prior experience in parts orders fulfilment
Experience with MS Office, MS Access, SAP, etc.
Excellent communication skills
Systematic and good record keeping and filing to allow quick retrieval of information when required
