The Responsibilities:
This role is based in Singapore and will be focusing on receptionist and administrative scope for the company.
Greet and assist visitors warmly and promptly as needed
Inform the host about visitor arrivals
Help visitors with WiFi setup and video conferencing
Assist colleagues in arranging room bookings for their visits to their Singapore office
Coordinate changes to meeting room reservations
Keep the reception area organized and neat
Manage incoming calls, transferring, and taking messages when necessary
Handle mail and deliveries by sorting, notifying recipients, and arranging outgoing items
Verify invoices from monthly courier services
Monitor and replenish office supplies and pantry items
Assist in organizing company events held within the office
Issue staff lockers and handle passcode resets
Manage temporary access cards
Communicate with Building Management for facility-related issues
Assist Admin Department with tasks like generating QR codes for staff business cards, checking phone bills, and preparing co-payment listings
Complete any other requested ad hoc job duties
The Requirements:
Relevant work experience in an admin and or receptionist role
Able to use Microsoft Outlook, drafting emails, Microsoft Teams and proficient with excel
Must have flexibility for duty covering in the event of absence of the other receptionist
Good verbal and written communication skills to interact professionally with visitors, employees, and callers
Able to multi-tasking and prioritizing the tasks effectively to ensure smooth front desk operations
