Job Description


After extensive training, you will take over the following tasks

  • Provide secretarial support (manage MD\'s calendar, update travelers\' calendars etc.)
  • Provide administration support (organise MD\'s travel expenses, visitors overview, upkeep of office equipment, printing calendars/ diaries etc.)
  • Work in an international team: i.e. cooperation and communication (via phone and email) with customers, suppliers, visitors, our sales managers and the German headquarter
  • Organize complex travel, accommodation and transport arrangements including establish corporate account
  • Responsible for the organization of meetings, conferences and team bonding events, including preparation of minutes
  • Support in the organization of exhibitions
  • Logistics tasks (prepare commercial invoices, packing, order dry ice, arrange shipment)
  • Sales support, e.g. data entry, research, presentations and handling orders
  • Internal sales support e.g. raise purchase orders, quotations, invoices and credit notes
  • IT support, e.g. inventory management, coordinate with HQ (sourcing of parts, monitor installed systems)
  • HR support (on and offboarding), e.g. set up laptop including necessary software/ access, collect a copy of NRIC, coordinate in-house training
Your skills
  • At least 4 to 5 years of working experience as personal assistant or administration manager
  • Diploma or degree in business studies, administration, management or equivalent
  • A high level of confidentiality as you will have insight into confidential matters
  • Excellent self-organization skills and proactivity
  • Has an eye for detail and possess a dynamic, committed attitude with strong sense of initiative
  • Intercultural competence and excellent communication skills in English, both written and verbal
  • Strong proficiency in Microsoft Office
  • Dynamic, highly motivated, well organized, and detail oriented
  • Very good team player
  • Cheerful personality
  • Able to commit long term
