We are looking for a Personal/Administrative Assistant reporting to the Executive Assistant to the APAC Exco based in Singapore. You will provide administrative support by effectively and efficiently handling and managing all administrative matters of and for the APAC Exco and general administration for the Regional Team, allowing them to focus on their responsibility of driving the business. What you\'ll do

  • Manage the day-to-day calendar, including organizing meetings and managing schedules
  • Prepare all aspects of administration including (but not limited to) expense reports, audit against travel schedule and monthly credit card statements
  • Schedule meetings and receive guests in the office as and when needed
  • Liaise across multiple departments and across offices across APAC and beyond
  • Make travel and administrative arrangements such as visa applications, booking flights, cars, and hotel or restaurant reservations
  • Adhere closely to WPP compliance standards and policies
  • Handle sensitive information in a confidential manner
  • Ensure smooth office operation in the form of managing facilities such as lighting, AV, printers/ink, paper, network etc
  • Contribute to team effort by accomplishing related results as needed
  • Work closely and collaboratively with the Executive Assistant to APAC Exco
  • Any other ad-hoc tasks assigned from time to time
Who you are
  • You have at least 2 - 3 years of experience in assisting an executive-level team. Experience in an agency environment is ideal but not necessary.
  • High proficiency in Microsoft Office suite
  • Highly organized and adaptable; resilient, mature and able to deal with stress and ambiguity
  • Demonstrate ability to resolve problems in a fundamentally sound manner
  • Team player with strong interpersonal, and collaboration skills
  • Able to thrive in a fast-paced environment and are a proactive self-starter with excellent communication in both verbal and written English
