Job Description

Job Purpose

The jobholder is required to oversee the direct purchase material requirement to support daily maintenance operation and will be responsible for strategic sourcing management and cost optimization. He/ She will establish, monitor, and oversee performance metrics to identify and implement continual improvement opportunities.

Responsibilities

The roles and responsibilities shall include but not limited to the following areas:

• Ensure Preliminary Request Form (PRF) submissions by Business Units (BU) Requestors are for reasonable requirements, including quantity, estimated price etc., and are in order with the necessary information and approval.
• Raise Purchase Requisitions (PR) in SAP system.
• Work closely with Procurement Office to fulfill the BU\'s requirement. Evaluate offers received from Quotations including price reasonableness and compliance to the specifications. Monitor progress of PRs till Purchase Orders (PO) issuance/ Contract established.
• Follow up with buyer on overdue POs.
• Liaise with BU Requestors in the verification and acceptance of goods.
• Assist in resolving issues with suppliers to ensure successful goods receipt.
• Perform goods acceptance via transaction code 103 in the SAP system.
• Upload Delivery note/ Invoice with QC result to the respective PO in SAP after goods receipt is done.
• Housekeeping of outstanding PRs.
• Assist in monitoring contracts for renewal.
• To submit monthly report on number of PRs raised.
• Analyse data from direct purchase. Work with Procurement Office to establish Agreements to eliminate recurrent RFQ.
• Perform Material Requirement Planning, provisioning and acquisition of spares and related supplies in support of the acquired system.
• Perform inventory management such as inventory adjustment, shelf-life management, write-off process, etc.
• Perform the initialization of Management Information System (MIS) to ensure that all material master data are coded, loaded and configured to meet the supply and maintenance business processes.
• Any other additional duties as assigned by the Supervisor.

Qualifications & Work Experience

• Diploma in Business, Engineering, Logistics Supply Chain Management or relevant field.
• Minimum 1 - 2 years of related experience in purchasing, material planning.

Skills

• Possess strong analytic skills, good communication skills and good interpersonal skills.
• Ability to work collaboratively with internal and external stakeholders.
• Well verse with MS Office.
• Familiar with SAP, Maximo, or equivalent Management Information Systems.
