Through their attention to administrative detail and service ethic, the Dover Primary School is seen as one single, functional body by students, parents, teachers, college leadership and the wider community.Main Responsibilities

  • Supports administrative operations of the Vice-Principals, Heads of Grade and Teachers such as preparing, arranging and compiling information and data required for meetings with staff and students/parents, assisting in organizing major events (i.e. Orientation, student conferences) and grade expedition
  • Acts as the first point of contact to parents/guardians on Junior School administrative matters as required (eg coordination of student communications to parents/teachers, uniforms coordination and attendance monitoring)
  • Assists in student related matters such as maintaining student attendance and students' personal file (digital or otherwise), academic assessment reports, preparing transcripts, letters of certifications and letters/forms, coordination of Grade Surveys, facilitating student ID cards, handouts and management of any issues that arise over such things as student meal allocation, clinic visits and so forth.
  • Performs general administration such as data entry, filing, replenish stationery and pantry supplies, assembling/booking of venues and meeting rooms and distribution of school publications
  • Works closely with a variety of departments to ensure the smooth-running administrative operations for Junior School (eg Learning Support, Facilities, Events etc)
  • Other ad-hoc administrative duties as and when necessary
Person Specifications
  • Minimum Diploma/Certificate in related discipline
  • at least 2 years of relevant experience in a similar capacity
  • Must be organised, meticulous with an eye for detail
  • Able to work cohesively in a team-based environment as well as independently and demonstrates initiative
  • Proactive self-starter with a high degree of flexibility and passionate about working with children
  • Excellent English (written and spoken), interpersonal and organizational skills
  • Strong technological skills knowledge and familiarity with Mac platform and collaborative software such as google calendar and event planning
  • Quick on the uptake - has the ability to learn new skills quickly and with ease
