Job Description

We are seeking a proactive

Procurement Specialist

to manage the sourcing, purchasing, and vendor management of goods and services for our organization. You will play a key role in ensuring cost-effective procurement, timely deliveries, and compliance with company policies while supporting smooth operations across projects.





Key Responsibilities:



Source, evaluate, and manage suppliers, ensuring quality, cost-efficiency, and timely delivery. Review and process purchase orders, quotations, contracts, and related documentation in the ERP system. Monitor vendor performance and maintain an updated approved vendor list. Collaborate with project teams, accounts, and management to ensure seamless procurement operations. Ensure compliance with procurement policies, ethical standards, and regulatory requirements. Support reporting, cost analysis, and continuous improvement initiatives.

Coordination & Communication



Act as a key contact between suppliers, site teams, accounts, and management for all procurement-related communications. Work closely with site/project teams to understand material requirements and timelines to ensure supply continuity. Coordinate with the Accounts Department for timely invoice verification and payment release. Communicate proactively on order status, potential delivery delays, or issues affecting project schedules. Support cross-department collaboration to align procurement with project and operational objectives. Provide regular procurement updates, highlighting potential risks or bottlenecks to the Senior Procurement / Procurement Manager. Lead coordination for high-value or time-sensitive purchases to align internal stakeholders and vendors.

Compliance, Cost Control & Reporting



Ensure all procurement transactions comply with company policies, approval limits, and vendor management procedures. Conduct cost analysis and support budgeting and forecasting. Maintain accurate procurement records for internal/external audits (ISO/Quality Management audits). Assist in preparing periodic procurement reports (cost summary, order tracking, supplier performance, savings analysis). Uphold ethical procurement standards and maintain confidentiality of sensitive information. Identify and report non-compliance or potential risks in procurement processes and propose corrective actions. Monitor and enforce ethical procurement practices in line with corporate governance and anti-bribery policies.

Team Support & Continuous Improvement



Contribute to improving procurement workflows, templates, and documentation standards. Participate in system enhancement initiatives for efficiency, transparency, and data accuracy. Share best practices and support the training of junior team members or new hires. Provide feedback on supplier performance, pricing trends, and process improvement opportunities. Demonstrate a proactive attitude toward problem-solving, teamwork, and professional development.

Requirements:



Diploma in Business Administration, Supply Chain, or related field. 3-5 years of procurement experience, preferably in construction, mechanical, electrical, or maintenance industries. Experience with international sourcing and construction materials. Strong negotiation, analytical, and communication skills. Proficient in ERP systems and procurement software. Highly organized, detail-oriented, and able to manage multiple priorities. Positive, proactive, and collaborative mindset.

Preferred Skills:

Familiarity with ISO standards and quality management systems. Advanced Excel and reporting skills. Project management experience in procurement.

8.30am to 5.30pm


Satursday


8.30 to 12.30pm
