Programs & Operations Executive

ABOUT THE ROLE

The Ninja Lab is where fitness meets imagination -- and every class is an adventure. As we scale up, we're looking for a Programs & Ops Executive to help us bring structure, clarity, and consistency to our growing world of obstacle training, calisthenics, and movement-based enrichment.


This isn't just admin. You'll be the engine behind our programming systems -- making sure that every weekly class plan flows smoothly, coaches are equipped and aligned, kids' progress is tracked, and parents feel the magic too.


You'll work directly with the founders -- one a master coach, the other a systems builder -- to turn vision into repeatable, high-quality experiences.

YOUR MISSION

Support the development and execution of structured lesson plans, skill tracking systems, and operational workflows that make every class unforgettable -- and every student seen.

KEY RESPONSIBILITIES

Program Execution


Upload and distribute weekly class briefs to coaches (e.g., Jonin, Chunin, Genin) Ensure coaches follow the weekly lesson plans and key focus areas Sit in on classes and flag deviations, gaps, or feedback


Skill Passport & Student Progress


Maintain and update skill passports for each child Print, track, and file physical or digital progress tools Work with Admin to ensure accurate records


Operational Systems Support


Maintain Notion / Airtable templates and dashboards Update master term calendars, class schedules, and attendance data Help build coach SOPs (playbooks, cue sheets, lesson templates)


Internal Comms & Coordination


Ensure weekly check-ins with Program Lead and Founder Help translate program updates into parent-friendly comms Chase down action items and keep the ops engine running

WHO YOU ARE

Extremely detail-oriented and structured -- you love ticking boxes and aligning moving parts A natural coordinator -- persistent with follow-ups, and not afraid to nudge busy people Comfortable with digital tools like Notion, Airtable, Google Sheets (or willing to learn fast) Able to observe a class and spot what's missing from the plan Bonus: Background in education, enrichment, fitness, or admin/ops for kids programs with a natural love for fitness
