Job Description


:

  • Collaborate with IT project managers to understand project requirements and identify procurement needs.
  • Support the procurement activities for Digital Delivery team, while also extending secondary support to other teams within Innovation & Technology.
  • Research and source for potential vendors, obtaining quotes, and conducting evaluations based on project criteria.
  • Coordinate vendor meetings and demonstrations, ensuring alignment with project objectives.
  • Support the IT Project Manager in reviewing vendor contracts and ensuring compliance with organizational policies and legal requirements.
  • Raise awareness and equip team on finance and procurement knowledge through divisional workshops and engagements. Train and guide department users in procurement with end\xe2\x80\x93to\xe2\x80\x93end solutions based on established guidelines and procedures.
  • Maintain a comprehensive database of vendor contracts, renewals, and terms.
  • Collaborate with the Finance Department to track project-related expenses, ensuring adherence to budgetary guidelines.
  • Track budget utilisation and provide regular reporting on expenses
  • Support IT Managers in organizing project meetings, preparing agendas, and minutes taking.
  • Contribute to the testing and quality assurance processes, verifying that delivered products meet the project\'s specifications and standards.
  • Provide business analysis and application support for smaller projects.
Qualifications:
  • Diploma/Degree in Computer Science/ Business Administration/ Information Technology or equivalent.
  • Minimum 2 years of relevant working experience.
  • Previous experience in procurement coordination, vendor management, or project administration is preferred.
  • Familiarity with IT hardware, software, and services procurement processes.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
  • Excellent communication and interpersonal abilities to collaborate with vendors, internal teams, and stakeholders.
  • Proficient in using productivity tools such as spreadsheets, project management software, and collaboration platforms.
  • Detail-oriented mindset with a focus on accuracy and thoroughness in all tasks.
  • Ability to adapt to changing priorities and maintain composure under pressure.
  • A passion for arts and culture or technology and a desire to contribute to the success of innovative digital projects is preferred.
  • Keen to learn about project management practice controls such as timeline, scope and budget tracking.
