Local Unit & Position Description

DNV Business Assurance SEA comprises of 40+ employees operating in 6 countries, namely: Singapore, Malaysia, Vietnam, Philippines, Thailand and Indonesia.

The Project Planning Coordinator reports to the F&B Manager in Singapore.

Roles & Responsibilities:

• Day-to-day administrative support for the Operations team;
• Administrative work for the arrangement of any event, training, seminar etc and travel arrangements for overseas visitor / auditor etc;
• Ensuring all the data in the systems are updated and correct;
• Planning of audits in advance for at least 6 months (this includes the requests received from other countries and other areas);
• Communication and confirmation of audits with clients and auditors when necessary;
• Ensuring the reporting is done by the auditors on time for the completed projects;
• Verify the expense claims for the subcontractor auditors;
• Coordination for the qualification of the people with Technical team, as and when required;
• Preparing and getting signed agreements of the contracts with all subcontractors on annual basis;
• Any other necessary administrative work related to activities / projects;
• Any other work assigned as and when is required as per the line manager;

Position Qualifications

• Diploma or equivalent;
• Experience working in similar industry - operations and or technical area is preferred;
• Work experience in managing customers / clients and working with teams in different cultures (i.e., Asian colleagues);
• Good hands-on understanding and experience working with Microsoft Office programs (Word, Excel, Outlook, etc) and systems (i.e., Oracle);
• Able to meet timelines and work in a fast-paced environment;
• Candidate should have good written and spoken English as well as good communication skills;
