This is a full-time, onsite, Receptionist cum Admin Assistant role in MOE Secondary school. If

You will work closely with VP and the AMs /AE and School Leaders(SLs) in an MOE Secondary School (nearest MRT-Toa Payoh ) in the day-to-day activities.

Responsibilities:
Front Desk Management
Greet and attend to visitors and clients in a courteous and professional manner.
Maintain a tidy and presentable reception area at all times.
Call Handling
Answer and direct incoming calls to relevant school personnel.
Handle general telephone and in-person inquiries from parents, vendors, and the public.
Take messages accurately and ensure timely delivery to relevant staff.
Email, Mail and Courier Management
Monitor the school's generic email inbox and promptly forward messages to the
appropriate departments or personnel for follow up.
Receive, sort, and distribute incoming mail, parcels, and documents.
Prepare outgoing mail and liaise with courier services when necessary.
Record all incoming and outgoing mail from MOE couriers and SingPost (normal and
registered) in the mail register.
Administrative Support
Provide general administrative support, including photocopying, filing, scanning, and data
entry.
Assist in scheduling appointments,meetings or room bookings for school leaders and staff
when needed
Verify payment records to ensure all required signatures and supporting documents are
complete and properly attached
Assist in updating the school's organisational chart displayed outside the General Office.
Assist in data verification as requested by school
Assist in updating the pigeonholes in the General Office at the end of the year or upon
request by the school.
Assist in collecting forms and issuing items as requested by the school.
Other Responsibilities
Assist in the preparation and arrangement of light refreshments for guests.
Other administrative responsibilities may be assigned by the Admin Manager and School
Leaders as needed.
Job Requirements:
Minimum 'O' level Qualifications
Relevant school based experience would be preferred
Must have at least 3 years of experience as receptionist

Summary:
Contract Period: From 1 Dec 2025 to 30 Nov 2026.
Working Hours:
o Mondays to Thursdays: 7:00am to 4:00pm, inclusive of 1/2hr lunch break
o Fridays: 7:00am to 3:30pm, inclusive of 1/2hr lunch break
o Service not required on Saturdays, Sundays and gazetted public holidays.
