Description
Attend to walk in visitors.
Screening of incoming calls and ensuring calls are promptly answered in a clear, professional and friendly manner.
Ensure that the reception lobby and meeting rooms are well kept at all times.
Review meeting room calendar and ensure rooms are ready for use.
Mail management such as receiving incoming mails, preparing outgoing mails with the use of franking machine.
Coordinate internal despatch and courier services.
Stock take of stationary/ pantry needs and replenish orders
Source and work with vendors and suppliers on all enquiries & quotations.
Coordinate with third party vendors including the cleaning company, air conditioning contractors and building management for maintenance work and other related issues.
Process purchase requisition, purchase order, goods receipt in SAP system for procurement of pantries and stationeries supplies.
Verifying invoices to ensure costs are correct and that discrepancies /overcharged items are rectified.
Assist in receiving and witnessing tender submission to HQ for various commercial buildings and residential developments.
Prepare month end reports for admin function.
Other ad-hoc administrative duties when required
Requirements
Minimum GCE \'N\'/\'O\' level with at least 1 year of relevant working experience as a receptionist in corporate office environment
Proficient in Microsoft Office especially Excel and Word
Excellent customer services and telephone etiquette
Punctual with strong attendance record
A team player, analytical, meticulous, resourceful, well-organized, good time management, strong prioritization and good problem-solving skills with good interpersonal skills and strong verbal and written communication
Possess positive and willing to learn attitude with good level of responsibility
Ability to handle a fast-paced environment and prioritize tasks based on importance
Ability to perform task with minimal supervision
With strong timekeeping and attendance record.
