In August 2018 GESS moved to Dairy Farm Road to a modern new school campus located at the edge of Singapore\'s largest nature reserve.Job PurposeThe Receptionist is responsible for providing administrative support to the School Services department, including but not limited to school routines and parent, teacher, and student support for current families.Key Accountabilities:General Customer Service & Administration:\xc2\xb7 Serve as the primary point of contact for parents and students.\xc2\xb7 Attend to parent and student requests and inquiries, redirecting them to the appropriate personnel when necessary.\xc2\xb7 Manage the main phone line, assist customers with queries, and direct them to the correct department.\xc2\xb7 Educate and assist parents in understanding school procedures and accessing relevant information.\xc2\xb7 Ensure customers have a positive experience with GESS.\xc2\xb7 Provide feedback to the department on improving parent and student experiences.\xc2\xb7 Manage complaints and escalate issues when necessary.\xc2\xb7 Support the School Services Manager with day-to-day tasks.Reception Duties:\xc2\xb7 Professionally supervise the reception area.\xc2\xb7 Assist parents, students, and visitors.\xc2\xb7 Order taxis for visitors.\xc2\xb7 Supervise late student pick-ups.Data & Systems Management:\xc2\xb7 Enter, validate, and maintain relevant student data in the student database.\xc2\xb7 Assist in checking for data integrity of student data.\xc2\xb7 Familiarity with school systems and databases.Student Support Services:\xc2\xb7 Issue student enrolment confirmations for external authorities.\xc2\xb7 Handle documentation requests (references, reports, certificates).\xc2\xb7 Manage correspondence for existing students.\xc2\xb7 Process concession card applications for Singaporean citizens.\xc2\xb7 Issue Student ID and Parent ID Cards.\xc2\xb7 Distribute lunch vouchers to students.\xc2\xb7 Maintain a phone confiscation list.\xc2\xb7 Manage lost and found items.Student Attendance:\xc2\xb7 Update absences in the Master Attendance system.\xc2\xb7 Process early dismissals and late arrivals.\xc2\xb7 Handle leave requests.\xc2\xb7 Generate daily attendance and absence reports.\xc2\xb7 Ensure all student absences are resolved.\xc2\xb7 Maintain up-to-date attendance records.Knowledge and Experience:\xc2\xb7 Diploma in any discipline.\xc2\xb7 2-3 years of proven experience working in an office environment and customer service role.\xc2\xb7 Cultural understanding and experience working in an international organization with diverse stakeholders.\xc2\xb7 Experience working in a school environment is an advantage.Technical and Soft Skills:\xc2\xb7 Excellent communication and interpersonal skills.\xc2\xb7 Calm and composed demeanor.\xc2\xb7 Strong problem-solving and multi-tasking abilities.\xc2\xb7 Skills in customer complaint handling and resolution.\xc2\xb7 Proficiency in Microsoft Office and CRM database systems.\xc2\xb7 Ability to quickly learn and understand school operations, standards, and work processes.Keen to collaborate and share your specialist expertise, you will be a fitting ambassador for the school.
