Job Description


WHAT: To assist in the duties of the Reservations Department maximizing bookings by delivering a delightful yet efficient booking service for our Reservations Agents are meticulous at multisite brand administration ensuring that every detail of a customer\xe2\x80\x99s booking has been accurately recorded following established procedures.

Your Role: Operational (position specific)

  • Ensure a smooth operation at the Reservations Department and good operation with other related Departments such as Sales & Marketing, Front office, Food & Beverage and Finance
  • Assists and prepare in groups pre-arrival process and preparing group rooming lists as requested
  • Ensure all reservations requests, amendments and cancellations are properly, promptly, and correctly entered in PMS (Property Management Systems)
  • Ensure all correspondences for reservations are replied promptly, correctly, and professionally
  • Try to solve complaints from clients otherwise escalate to superior regarding reservations and take immediate remedy action
  • Knowledge of PMS and booking systems of travel agents (OTAs / GDS agents etc)
  • Good interpersonal skills
  • Able to compile opening & closing shift reports (including but not limited to daily pickup, STR Global updates etc)
  • Ability to ensure inventory balancing between PMS and CRS system
  • Ensure all no-shows are accounted for and No-show postings are charged accordingly on a daily basis
  • Ability to analyse different business situations and act on problems according to the set guidelines
  • Ability to communicate effectively with various departments

  • Ability to answer the telephone professionally and cheerfully, including transferring and routing misdirected calls, and taking messages
  • Ability to process reservations from all sources, including but not limited to corporate, wholesale, Online Travel Agents, GDS, Brand website, discounted rate, emails, CRS etc
  • Ability to maintain reservation standards in accordance to company\xe2\x80\x99s standard testing requirements
  • Have the knowledge of hotel location, facilities, room descriptions, hours of operation key personnel, special activities and functions in the hotel in order to provide information to potential guests

  • Identify and report any maintenance requirements and hazards in the workplace and report significant issues to your manager
  • Stay abreast of changes in your expertise and comply with statutory and legal requirements for fire, hygiene, health, and safety
  • Be conscious of the hotel\xe2\x80\x99s security, guests, and guest\xe2\x80\x99s belongings
  • To respond properly in any hotel emergency or safety situation
