Provide full spectrum of secretarial and administrative support
Managing daily schedule and calendar.
Managing travel arrangements including itinerary; visa application; generating expenses claims and managing correspondences with overseas offices, including visiting guests
Organize and co-ordinate meetings and video / audio tele-conferences.
Assist to prepare documents, reports and presentation slides.
Set-up and maintain filing system.
Handle incoming mail and other materials.
Responsible for the full spectrum of the administration functions of the Singapore Office.
Manage the office facilities including the reception area
Greets and sets up workspaces for visitors and guests interfacing with partners to ensure proper access and equipment are assigned.
Petty cash management
Manage expatriate expenses claims and handle manual cheque requests.
Support content creation with the communication lead for APAC region.
Lead local engagement activities including but not limited to: company year-end event
Responsible for the local support of new hires.
Work with line manager and partners for onboarding plan, including tools of trade (mobile phone, laptop and system requirements), arrangement of car park lot etc, temporary accommodation etc,
Communicate the needed information to new hires prior to their 1st day of work or transfer date
Meet new hires on Day 1 to issue new hire collaterals (access card, notebook, gifts etc) and conduct office orientation
Responsible for the maintenance of the Office.
Assist in procurement of indirect materials and services
Maintenance and updating of administration documents in the sharepoint and MS Teams and various licenses for the operation of the office, etc.
Co-ordinate with building management on all matters relating to safety, security and general maintenance of the office space.
Manage hot desks, locker, car park lots, stationery and pantry needs
Manage all 3rd party contracts and contractors on site for the maintenance of the Singapore office including but not limited to: cleaning services, lighting, air-conditioning etc.
Identifies opportunities for process improvement and recommends special projects and initiatives related to general business administration
Be an active member in leading EHS&S awareness within the Singapore Office.
Synchronize with administration team to ensure continuous support
Requirements:
Min Degree in Business Administration or equivalent.
Work Experience required and/or preferred: minimum 8 ~ 10 years working with senior management.
Other skills (technical or functional) necessary to perform the responsibilities of the position:
Ability to work in a team.
Excellent communication skill and able to interact with staff at all levels.
Resourceful and analytical.
Able to work with minimal supervision.
Able to work under pressure.
Certifications, Computer/Software Skills, Language Fluency, Etc.: knowledgeable in Microsoft applications.
