Our client, a German bank is now looking for a Secretary to support the team. This will be a rolling 12 months contract role.

Scope:
  • Provide support to Head Treasury Asia, Head Structured Solutions Sales, Head Structured Solution Trading and Business Management
  • Managing calendar, booking business trip, organizing visas, processing expense claims, etc for the Head Treasury Asia, Head Structured Solutions Sales, Head Structured Solution Trading.
  • To support the Asia treasury team with booking business trips, organizing visas, processing expense claims, etc
  • Provide adhoc administrative, operational and secretarial support to the Team Heads and staff of GMT Singapore. These activities may range from admin work to preparation of documents for road shows and client presentations.
  • Organize overseas travel and prepare itineraries.
  • Process GMT staff expenses claims in a timely manner.
  • Preparation & production of presentation materials for the Structured Solutions sales team.
  • Check all incoming faxes, distribute and take action on matters where appropriate.
  • Manage diaries for internal and external meetings for Head Treasury Asia and Structured Solutions Sales where necessary.
  • Arrange meeting rooms and facilities as appropriate.
  • Send out invitations and liaise with meetings delegates to confirm attendance.
  • Perform general administration duties as photocopying, filing, archiving, scanning of documents, etc.
  • Perform any other ad-hoc duties and projects assigned from time to time by the Head Treasury Asia.
  • Support sales on the administrative matters e.g. arrange client meetings, drafting letters to clients on their behalf to request for meetings, follow-ups and thereafter, writing thank you letters to clients.
  • Manage the annual leave plan and MTA for the Treasury team in Asia (SGP, HK, TOK)
  • Help with onboarding and offboarding of staff
  • Arrange for technical, meeting schedule and other requirements of internal Treasury visitors to Singapore
  • Work closely with London, Frankfurt & other parts of Asia secretaries for any roadshows or events.
  • Liaise with hotels on events.
  • Work closely with and coordinate with other support staff, secretaries and internal counterparties in London, Frankfurt & other parts of Asia.
  • To adhere to all relevant regulatory and compliance requirements.
Requirements:
  • Minimum 5 years working experience in similar capacity
  • Good organizational & planning skills.
  • Strong interpersonal skills.
  • Demonstrate strong drive and commitment to deliver results, together with ability to work under pressure and multi-task.
  • Proven ability to deal with confidential matters and sensitive information.
  • Demonstrate a high degree of reliability, motivation and enthusiasm.
  • Demonstrate clear, confident verbal communication.
