Prepare for weekly/adhoc meetings by ensuring all necessary documents and agenda are ready in advance.
Record and distribute minutes from weekly/adhoc meetings, and follow up on action items to ensure completion.
Manage all work-related email correspondences on behalf of the Managing Director.
Draft emails, letters, speeches (English/Chinese), presentations and reports as needed to support the Managing Director.
Liaise with external organizations and clients when instructed.
Receive clients/customers on behalf of the Managing Director.
Arrange travel, both domestic and international, along with accommodations and detailed itineraries for the Managing Director.
Liaise with vendors, service providers, relevant authorities and contractors toensure smooth office operations.
Handle sensitive and confidential matters with utmost care and discretion.
All ad-hoc tasks as and assigned by the Managing Director (e.g booking ticks, documentation for SLA, BCA, ordering foods and etc)
Job Requirements
Minimum a Diploma in Business Administration or equivalent with a minimum of 3 years of relevant experience in executive support, preferably for senior management or C-level executive.
Strong organizational and multitasking skills, with the ability to prioritize and manage a high level executive's schedule.
Excellent verbal and written communication skills, with experience in drafting documents and presentations.
Effectively bilingual in English and Chinese to handle Chinese-speaking customers and clients
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
Ability to maintain confidentiality and exercise discretion in handling sensitive information
