Job Description


UWCSEA East Campus is seeking an experienced Senior Administrative Assistant to join our Admissions Department, starting in April / May 2025.The Senior Administrative Assistant (Admissions) serves as the initial point of contact for the Admissions department, playing a pivotal role in creating impactful first impressions for prospective families. This role handles all incoming enquiries via email, phone, or in-person and manages the top level marketing leads in the enquiry management software. The incumbent responds to and tracks top-level enquiries via email and telephone, and routes all enquiries as needed to Admissions staff.The role organises and supports logistics for online and in-person tours, including sending invites for in-person assessments and other Admissions events. The incumbent also supports the yearly Open Day events on both Campuses and other daily administrative requirements of the Admissions office.Main Responsibilities

  • Provide a customer-focused and efficient interface through email, telephone, and in-person interactions with clients, including all visitors to Admissions
  • Provide support for the Admissions Officers through the management of the enquiry software, email and telephone enquiries, and requests for information
  • Works closely with the Senior Administration Assistant at the other campus, managing the general Admissions email inbox. The Senior Administration Assistants will buddy each other, providing cover for each other's work during leave periods and at other times, as needed.
  • Supports the gathering of Marketing data by tracking Admissions enquiries to the College using the prescribed software
  • Coordinates booking logistics for in-person and online tours, meetings, and other visitors using prescribed software, in collaboration with the Senior Administration Assistant at the other campus
  • Oversees marketing materials and other office supplies required for the Admissions office
  • Provides ongoing support throughout the year for the Immigration Admissions Assistant for immigration pass verifications
  • Supports other daily administrative requirements of the Admissions team, as needed (e.g. generating summary information on newly enrolled students to school centres using prescribed software
  • Assist with any other duties, tasks or jobs with similar levels of responsibility and complexity to the assigned job grade as may be reasonably requested by the line manager and/or the College
Person Specifications
  • Minimum of a Diploma. Candidates without diploma but with more than 5 years of relevant experience in a school admissions department are encouraged to apply.
  • At least 5 years of administrative work experience
  • At least 2 years of experience in customer-facing roles involving both telephone and email communication preferred, or a track record of strong written and oral communication skills
  • Good command of spoken and written English
  • Experience in detail-oriented work involving accuracy and timely accomplishment of tasks essential
  • A motivated and proactive self-starter with a high degree of flexibility, curiosity, resourcefulness and independence; keen to learn and involve themselves in the department
  • Team player with a positive working attitude, who enjoys collaborating with others and on departmental projects
  • Excellent email and telephone skills. Friendly, warm and welcoming communication skills and confidence in fielding general enquiries both in-person and via email/telephone
  • Oral fluency in Chinese highly desirable
  • Well-organised and capable of managing multiple priorities effectively and efficiently; accurate and meticulous
  • Proficient in Google suite, Excel, and ability to learn software systems used by the College
