Job Description


We are looking for a Senior Administrative Executive to provide a high standard of confidential, personal and efficient administration, communication and project support to our Head of Department for Asian Legal Business. This is a fast-paced role that will focus on a broad range of core support tasks to ensure a seamless and effective operation of the business and see you demonstrate a high degree of proactivity, prioritisation and flexibility in your approach. You will also be taking the lead with a number of internal communication and project initiatives in this role involving stakeholder management across various geographies and functions. You will be a skilled communicator, planner and people person with a hands-on approach to all tasks, ensuring a high standard of professionalism and continuous improvement. About the role As a Senior Administrative Executive, your key responsibilities will include (but not be limited to) the following:

  • Diary / Meeting management including scheduling, agendas, minute taking and hospitality
  • Comprehensive domestic and international travel management
  • Expense, invoice, and general financial account management
  • Client liaison and internal stakeholder liaison across all levels of the organisation
  • Supporting managers in the operational onboarding of new personnel and other logistical matters as part of calendar/event management.
  • Organising events including: conception, promotion, venue selection, catering, entertainment, accommodation and guest co-ordination
  • Leading employee and team internal communications on an as needs basis
  • Preparing presentation packs including coordinating resources and creating, summarizing and reviewing content
  • Support documentation for Head of Department\xe2\x80\x99s proposals
  • Leading periodic project work such as marketing projects and providing support in website upgrade/content
  • Providing additional administrative and diary support to managers in regional locations as needed
About you To be successful in the role as a Senior Administrative Executive, you should possess:
  • Minimum 2 years + of working experience in a commercial or sales environment
  • Ideally experience supporting busy executive in the APAC region
  • Excellent organisational skills with an ability to successfully prioritize
  • Excellent people skills, with the ability to work effectively across all levels of the organisation
  • Strong written, verbal and visual communication presentation skills
  • Diplomatic with a high level of respect for confidentiality
  • Ability to work both autonomously and in a team environment
  • Strong use of initiative, proactivity and resourcefulness
  • A high level of accuracy and insightful attention to detail whilst working at an efficient pace
  • A flexible, pragmatic and collaborative working style, able to learn quickly
  • Willing to go the extra mile to support the Head of Department where urgency is required.
  • Advanced skills in Microsoft Word, Excel, PowerPoint, Outlook and Microsoft Teams
