SPECIFIC INFORMATION
The (Senior) Driver works in the Operational Management team. In the team, the Senior Management Assistant works closely together with the (Senior) Driver for the daily logistical coordination of the Ambassador.
The Operational Manager, is responsible for the overall coordination of the Operational Management Team.
To provide safe, secure and timely driving services to transport the Ambassador or Deputy Head of Mission to events and functions. Often during irregular hours (evenings and occasionally weekends).
Follow-up the driver planning and scheduling using Outlook Calendar;
Facilitate airport pickups for VIP visitors and transportation during official visits;
Responsible for all car maintenance related duties including annual vehicle examination, insurance renewal, vehicle-related administration.
2. General Office Duties:
General administrative office duties;
Reviewing and processing invoices - knowledge on financial processes is a plus;
Manage the Embassy's postage registry and distribute mail as needed. Assist with packing/unpacking of diplomatic pouch;
Deliver correspondence to government authorities and assist in processing various permits (such as airport pass etc.)
Assist with purchasing of (office) supplies;
To assist in the organization of activities and events;
To make sure the Dutch flag is in good position, condition and changed when needed;
Assist with the overall upkeep of the office space, such as, condition of art-work, carpet and provide feedback to Operational Manager and/or General Affairs Officer about small maintenance work, including at residence;
To assist with general minor repair- electrical jobs, assist with finding contractors and/or suppliers when needed;

FRAMEWORK
Apply relevant legislation, instructions and guidelines in order to tackle the work properly and carry it out correctly, with due regard for the law;
The Driver carries the work out according to the applicable regulations and instructions and makes sure his tasks are correctly implemented and interpreted;

With the Operational Manager as the department lead;
With the Senior Management assistant to provide secure and timely driving services;
With Internal Affairs colleagues at the mission to make proposals for dealing with problems, suggest possible solutions and provide advice in when (construction) works are needed;
With local authorities when delivering mail;

KNOWLEDGE AND SKILL REQUIREMENTS
Knowledge of the relevant LTA regulations;
Skill in dealing with Singaporean authorities when making administrative arrangements for the embassy;
Social and communication skills and skill in overcoming differences in interests in direct contact with a wide variety of clients;
Maintain strict confidentiality and discretion.

LEVEL OF EDUCATION / ADDITIONAL TRAINING AND KNOWLEDGE
Proven experience as a driver, preferably in a diplomatic, VIP, or corporate environment
Fluent in English
Solid knowledge of Singapore's road network and travel regulations
First Aid knowledge
Advanced computer skills
Knowledge on financial processes is a plus;
