Job Description

:

  • This position is for Office of Admissions and Financial Assistance.
  • Front desk & Customer Service
  • Serve as the first point of contact at the OAFA Welcome Centre, providing professional and welcoming front-line service to prospective students, parents, and walk-in visitors.
  • Manage and respond promptly to queries received via email, phone, and in-person visits, ensuring accurate information is provided regarding SMU's undergraduate programmes and admissions processes.
  • Advise prospective students and parents on admission requirements, application procedures, important deadlines, and programme offerings.
  • Deliver exemplary customer service by resolving enquiries effectively and with empathy, escalating complex issues to relevant team members where appropriate.
  • Maintain accurate records of interactions and follow-ups in CRM systems or relevant tracking tools.
  • Admissions Support
  • Maintain and update applicants' records in admissions systems (e.g., ISIS), ensuring data accuracy for application processing and reporting.
  • Verify, file, and manage admissions-related documents submitted by applicants (e.g., transcripts, certificates, identity documents).
  • Assist in processing and tracking of appeals, deferment, and withdrawal requests received via the admissions mailbox.
  • Monitor and follow up on full fees acceptance form submissions, ensuring students complete all requirements by stipulated deadlines.
  • Proactively follow up with applicants on outstanding documents or admission matters, including submission of test scores or application updates.
  • Advise international applicants on Student Pass application procedures and related immigration matters, coordinating with ICA and internal stakeholders when necessary.
  • Support mass communications to applicants (e.g., email blasts, system notifications) during key admissions milestones.
  • Outreach and Engagement Support
  • Assist in the coordination, and execution of key recruitment and outreach events such as: Learning Journeys to SMU, Junior College and Polytechnic school visits and fairs.
  • SMU Open House
  • SMU Poly Day, IB Day, and Scholarship Showcase
  • Represent OAFA at external school fairs, providing accurate, engaging, and student-focused information about SMU programmes and campus life.
  • Support event logistics including preparation of event materials, venue setup, registration management, and hospitality.
  • Other duties as assigned.
Qualifications:
  • Diploma or Degree with at least 2 years of work experience.
  • Good communication skills and enjoy talking to people.
  • Meticulous, with strong administrative skills and the ability to multi-task across different projects.
  • Proficient with Office tools such as Microsoft Excel and Microsoft Word.
  • Proficient with technology tools such as Zoom, and willing to learn new systems.
  • Strong customer service mindset with the ability to respond to different types of personalities.
  • Knowledge of and interest in SMU will be an advantage.
