Job Description

:

  • Outreach
  • Assist with the organisation and co-ordination of PGR recruitment events (local & overseas) and other relevant activities;
  • Organisation and coordination of other PGR events and activities, which include (but not limited to) PGR students' and graduates' events and activities;
  • Co-ordinate with Schools on the International Collaborations' standardised process;
  • Set-up of any new Scholarships/programmes.
  • Marketing & Communications
  • Maintain SMU PGR websites and manage the Search Engine Optimisation, as required.
  • Interview or assist with the interviews of PGR students and/or graduates for write-ups or videos on their experiences and achievements.
  • Assist with the development of PGR corporate/marketing collaterals, as required (e.g., brochures, videos, e-newsletters, e-flyers, digital/social media marketing campaigns, etc.).
  • Work closely with teammates to adhere to university-level branding policies/guidelines;
  • Internal communications, as needed.
  • Prepare and send publicity materials for various events and activities.
  • Maintain the College's mailing lists, including graduates' placements, etc.
  • Assist with the College's Data Protection.
  • Administration
  • Take care of administrative functions, which includes (but not limited to) the preparation of purchase orders, tracking of office assets, replenishing the office stationery and pantry items, processing staff claims, tracking staff leave/time-off, and organising recognition lunches / team morale and bonding activities.
  • Process PhD students' conference applications and travel reimbursements, and administer the SMU sponsorship scheme for dependents of PGR students.
  • Support the relevant Senior Manager in the dissemination of PGR admission offer packages to prospective candidates during the admission cycles.
  • Organise various meetings for the College (including weekly meetings), as well as note-taking duties for these meetings.
  • Manage PGR Dean's calendar and process his/her claims on Travel Manager Systems and Staff Claims System.
  • Update PGR's inventory list for necessary replenishments (e.g., printed materials, corporate gifts, etc).
  • General
  • Co-ordinate with relevant SMU Schools & Offices accordingly;
  • SMU's IT and corporate communications offices.
  • Assist teammates with necessary reporting information.
  • Ensure accurate, timely and high-quality work.
  • Support new initiatives for the College, as required; and with other responsibilities, duties and tasks, as required.
Qualifications:
  • Minimum Bachelor's degree, preferably in Business Administration, Marketing, Corporate Communications, or any other similar / relevant degrees.
  • At least 2 years of relevant experience.
  • Prior experience on events management, as well as website, content and/or marketing collateral development is preferred.
  • Good computer knowledge, especially Microsoft Office. Able to generate, populate and interpret data and report with in-house application systems. Experience in using Adobe Photoshop is a plus.
  • Ability to review marketing platforms and their effectiveness is a plus.
  • Excellent communications (both written and spoken) and interpersonal skills.
  • Independent worker, a team player and able to work collaboratively with others.
  • Strong organisation and coordination skills, with the ability to handle several duties at the same time.
  • Resourceful, responsible and meticulous, with good attention to details. The ability to provide high quality of work is preferred.
  • Self-starter with initiative, and a good problem-solver.
  • Keen on process improvement and efficiency.
Other Information:

Candidates who do not possess the stipulated qualifications but have relevant work experience may still apply. Remuneration and appointment terms shall commensurate with qualifications and experience. SMU reserves the right to modify the appointment terms where necessary.
