:

Working under the direction of the Senior Manager (Learning \xe2\x80\x93 Early Years), the Senior Executive will be part of the dynamic Learning & Outreach team under the Museum Planning and Audience Engagement Division. This role will be responsible for supporting the Art & Family preschool programme and executing the core operational and administrative functions of the programme. The candidate will be required to engage with internal and external stakeholders to ensure requirements of the programme are communicated clearly and respond to queries accordingly.

Key Responsibilities (but not limited to the below):

  • Assist in coordinating information and communication between internal and external stakeholders related to the Art & Family preschool programme.
  • Pre-assign Education Facilitators\xe2\x80\x99 schedules based on availability and suitability, and coordinate rescheduling when necessary.
  • Keep track of Education Facilitators\xe2\x80\x99 timesheet for payroll purposes.
  • Prepare learning tools for the Art & Family preschool programme.
  • Coordinate all necessary briefings, trainings and evaluations for the Art & Family preschool programme.
  • Manage the Art & Family preschool programme onsite schools\' visits and problem solving.
  • Collate survey, data entry for reporting.
  • Create weekly sales order for the Art & Family preschool tours and when necessary.
  • Manage and maintain virtual meeting platform accounts for virtual programmes when necessary.
  • Handle ad-hoc assignments as and when required.
Qualifications:
  • At least 4 years of relevant work experience in an administrative portfolio, including coordination of schedules.
  • Must possess cultural sensitivity and understanding for diverse stakeholders.
  • Keen interest in working with educators and students.
  • Have experience in coordinating schedules of multiple stakeholders.
  • Demonstrated ability to manage projects effectively and deliver quality outcomes within tight timelines and budget.
  • Demonstrated skills in managing a range of administrative processes including issuing and managing schedules, contracts, financials, and logistics.
  • A proactive team player who is people-oriented, meticulous, resourceful, hands-on, and able to manage multiple projects simultaneously.
  • Possess excellent interpersonal, communication and presentation skills to a broad audience base and diverse range of stakeholders.
  • Good working knowledge of Microsoft Office Suite.
  • Good command of written and spoken English is essential.
  • Must be able to work on evenings, weekends, and public holidays when necessary.
  • An interest in the Arts will be an advantage.
