Job Description


The role is primary responsible for executing back-end sales operations tasks to support sales team. It may include various works, order processing, rate set-up, customer reports, payment of invoices, coordinating with various departments including external vendors and customers, and other tasks that helps to make sales team efficient. All works should be done in an expeditious and compliant manner that best serves the interest of SingPost and the customers.

  • Verifying completeness of information in request submissions from sales team for various tasks, e.g. account opening, order processing, etc
  • Create and maintain customer accounts and related information within relevant systems, including activities like creating and maintaining service activation/deactivation, rates input, customers\' billing details, and other relevant matters in accordance to signed agreements with customers
  • Liaising with the Credit Control team for Credit approval for new customers
  • Process Orders/Bookings, create and maintain order data within relevant systems
  • Liaising with Account Managers and internal departments to facilitate the execution of the above tasks
  • Liaise with printers/suppliers and process payment for supplies or sales expenses
  • Perform Account transfer
  • Support ad-hoc sales queries and requests such as processing waiver of Late Payment Interest
Support
  • Navigating and helping to source solutions, while adhering to internal compliance and process, for sales team in handling external queries, disputes, contracts and tenders
  • Prepare reports as per customer\'s requirements
  • Log in cases for QA purposes and to carry out meetings with various stakeholders to prevent recurrences and/or for future progress
  • Create and/or update user manual/processes for relevant team to refer and provide training as and when required.
  • Supporting sales team during account transition or during absence
  • Assigning leads to various sales team after understanding customers\' requirements
  • preparation of tenders and sales contracts, performing due diligence checks and ensure compliance to internal processes System testing/ migration
  • Participate in system testing/migrations and provide user input for enhancement
Process Management and Improvement
  • Gatekeeper to ensure compliance to processes by sales team when receiving service requests and performing tasks mentioned above
  • Flag process violations to reporting manager for remediation
  • File and maintain records of contracts/forms and service requests
  • Identify and raise opportunities for improvement for existing or new systems and processes
Requirements
  • More than 5 years of sales, admin or back-end supporting experience
  • Established capabilities to be able to adapt to a dynamic working environment, and high demand on time sensitive actions
  • Able to communicate with multi stakeholders, internally and externally, via calls and emails
