Administration of the Community Service Graduation Requirement
Manage the Community Service common mailbox, ensuring prompt responses to emails.
Attend to student queries (via emails and walk-ins) regarding the Community Service graduation requirement.
Assist students in finding suitable Community Service opportunities.
Follow-up with students and external partners for updates on Community Service hours and performance appraisals.
Update and maintain student records in a timely manner.
Monitor and follow-up with final-year students who have pending Community Service requirements, ensuring records are processed in time for graduation.
Liaise with local and overseas Non-Profits/Community Organisations, Social Service Agencies or Social Enterprises to source for suitable volunteering opportunities for the students.
Maintain and regularly update a database of all available volunteering opportunities.
Project Management and Reporting Support
Provide administrative support for project management of local and overseas projects, including safety assessments, risk management and financial procedures.
Coordinate the disbursement and tracking of donor funds, ensuring compliance with funding guidelines and preparing funding reports.
Ensure the timely submissions of pre-departure documents for overseas projects.
Outreach and Marketing
Assist in designing, crafting and dissemination of volunteer recruitment EDMs to students.
Set-up a story bank containing quotes, reflections, stories and information on past and present Community Service Projects.
Enhance the visibility and publicity of community service initiatives by collaborating with internal and external stakeholders to showcase the achievements and projects of students.
Assist in designing and producing marketing collaterals.
Provide support in planning and executing events such as symposiums, award ceremonies and community service fairs.
Other Administrative Duties
Conduct surveys to identify students\' interests and passions in specific social causes.
Coordinate platforms or avenues for students to pitch their ideas for Community Service Projects.
Any other roles and responsibilities as assigned by the Reporting Officer.
Qualifications:
Minimum Diploma with 3 years of relevant work experience in the social service/non-profit sector.
Good understanding of the social service landscape/non-profit sector and having prior experience in stakeholder management.
Excellent written and verbal communication skills.
Meticulous with strong organisational, analytical, problem-solving and time management skills.
A keen sense of ownership and accountability and acts with a sense of urgency to meet tight deadlines.
Adaptable, detail-oriented, resourceful, able to work independently and cross-functionally within the organisation.
Good team player and able to interact effectively with internal and external stakeholders.
Familiarity with basic design software e.g. Canva/ Adobe Photoshop would be an added advantage.
Proficient in MS Office applications.
