Job Purpose

The Events department is responsible to promote and run a wide gamut of external and internal events, which include lectures, seminars, book launches, conferences, dinners and networking functions.

The Senior Executive/Executive\'s role is responsible to co-ordinate and manage events at the Lee Kuan Yew School of Public Policy.

We are looking for aspiring and dynamic individuals to join our team in marketing and running a wide gamut of events hosted by the School such as lectures, seminars, book launches, conferences, dinners and networking functions.

Successful applicants will get the chance to meet and listen to some of the most influential minds and most importantly, learn to manage different genres of events from an academic perspective.

Must be hands-on person checking all logistical aspects of an event, ie. in the areas of Speaker Liaison, Venue, Registration, Media, Conference kit, Secretariat, Seating, Budget, Protocol and Sponsors

You will be in-charge of publicity campaigns, strategising outreach opportunities and be there in the thick of the action when events go live.

The Senior Executive / Executive is responsible to organise and manage an event from the infant stage to on-site execution and eventually, post-event proper. You will be in-charge of, but not limited to:
- Support the event planning, budget, strategy and development, to ensure the seamless execution of the School\'s events.
- Liaising with speakers / visitors on logistic aspects, including making accommodation and transport arrangement.
- Drafting of programme brief, venue layout, seating plans and any necessary documents required for external and internal stake holders.
- Support the design of the event experience, ensuring a high quality level of delivery in support of the Event\'s strategy and stakeholder needs.
- Develop and improve the stakeholder experience at each event, collating feedback and incorporate improvement in future events.
- Database Management (Including our vast and high profile mailing list and vendors contacts).
- Assist in the management of event websites, CRM system, EDM and weekly newsletter.
- Manage and liaise with vendors for quotation, logistic/services requirement, onsite setup and delivery of the required logistic/services.
- To ensure that management, researchers and administration staff work closely for the success of the institute\'s events
- Provide general clerical / secretarial / management support
- RSVP collation and handle public / general queries related to Events hosted by the School.
- Inventory management of in-house logistics.
- Any other ad-hoc duties as assigned by the Supervisor

Qualifications

  • Possess a Degree from a relevant discipline or its equivalent
  • Possess a minimum of 1 to 2 years of relevant working experience in event management
  • Ability to handle pressure, multi-task, and work within tight schedules/deadlines
  • Good time management and crisis management skills
  • Calm, resourceful, independent, and vigilant
  • Able to work independently, self-driven, and a strong team player
  • Possess good communication skills
  • Proficient in Microsoft Office applications (especially Excel, Words and Powerpoint)
  • Proficient in Photoshop would be preferred, but not required.
