detail-oriented and proactive Senior Executive, Leasing
to join our dynamic team. This role involves managing
end-to-end retail lease administration
and supporting
leasing strategy and negotiations
. The ideal candidate should have strong coordination skills, attention to detail, and the ability to work with multiple stakeholders, including internal teams, tenants, and external vendors.
Key Responsibilities
Retail Lease Administration
Prepare leasing documentation: term sheets, Letters of Intent, license and lease agreements, surrender and variation agreements, and move-in/move-out forms.
Complete ACRA and AML checks for incoming tenants before lease execution.
Coordinate review, circulation, and execution of lease documents with internal departments and external stakeholders.
Manage document stamping and maintain secure custody of executed agreements.
Update tenancy schedules, DRN systems, Excel trackers, and other leasing records regularly.
Track and file expenses related to tenancy alterations.
Generate monthly lease expiry reports and update transaction summaries bi-annually.
Assist in preparing annual budgets and reforecast templates.
Review, file, and send monthly Notices to Option (NTO) and annual NTO reminder letters.
Track and update tenant sales performance reports quarterly.
Prepare and send bi-annual sales data letters and annual reminders for auditor reports and statutory declarations.
Share information proactively with relevant departments and ensure organized filing and safekeeping of data.
Log new leasing enquiries and confirmed deals into the leasing management system.
Ensure accurate tenant data entry into the Tenancy Management System (TMS) for Property Management operations.
Liaise and negotiate with tenants on lease terms, renewals, and documentation.
Coordinate with external vendors, including legal counsel and data providers, for lease execution and compliance.
Follow up on arrears and missing sales turnover submissions from tenants.
Support report and presentation preparation for monthly Asset Performance meetings.
Prepare and update minutes for weekly leasing meetings and approval requests for leasing deals.
Coordinate with agents for agency form submissions and verify commission invoices for completed deals.
Ensure compliance with the Code of Conduct for leasing documentation; prepare and submit Joint Declarations of Deviation to FTIC when required.
Leasing Strategy & Negotiation
Assist the Assistant Manager with research and prospect profiling, including brand overviews and product imagery.
Support tenant acquisition processes: collate/update building and tenant information, manage cold-calling lists, attend enquiries, prepare vacancy listings, schedule viewings, and prepare venues.
Contribute to tenancy mix strategy development and enhancement.
Independently manage and negotiate selected lease renewals from start to completion.
Handle leasing interest, schedule agent viewings, and oversee offer submissions from prospective tenants.
Marketing Responsibilities
Plan, organize, and execute marketing campaigns, events, and promotions to attract visitors and engage the community.
Coordinate with vendors, partners, and internal teams for seamless marketing execution.
Handle invoicing and payment processes for marketing expenses.
Monitor and analyze campaign performance; provide insights and recommendations.
Collaborate with the digital marketing team to enhance online presence and drive traffic.
Stay updated on industry trends and best practices for innovative marketing strategies.
Ensure timely renewal of licenses and permits for marketing activities.
Qualifications
Diploma or Degree in Real Estate, Business, or related field.
Minimum 3 years of relevant leasing experience in retail or commercial property.
Valid CEA licence is an advantage.
Strong understanding of lease documentation and tenancy management.
Excellent organizational, coordination, and negotiation skills.
Proficient in Microsoft Office (Excel, Word, PowerPoint); experience with tenancy management systems is a plus.
Strong communication and interpersonal skills for effective stakeholder and tenant management.
