Job Description

Main purpose of job:

The British High Commission seeks a part-time Social Secretary to assist in planning and delivering events at the High Commissioner's Residence, Eden Hall. Eden Hall is a historic building and host to dozens of visits and events centred around projecting the UK and enhancing our important partnership with Singapore.

Reporting to the High Commissioner's Private Secretary, this position is a key part of the team that develops and delivers a busy and exciting schedule of events. The jobholder will work closely with the Residence team and High Commissioner's Private Office, and interact with colleagues across the High Commission. The jobholder will assist in all aspects of event planning including sending and tracking invitations, planning details and logistics, tracking expenditure and communicating with High Commission teams.

The ideal candidate will be approachable and professional, with a can-do attitude and experience in either managing or supporting events.

Roles and Responsibilities:

  • Act as Secretary to the Events Committee to draft agendas, take minutes, track actions, review requests for the use of the Residence for events and liaise with stakeholders on meeting outcomes.
  • Administer the Residence events calendar.
  • In partnership with the Residence Manager, plan events to ensure professional delivery and value for money the High Commission.
  • In partnership with the Residence Manager, identify external suppliers and liaise with partners and sponsors for events.
  • Act as main point of contact for our events partner, the British Chamber of Commerce.
  • Administer invitations and guestlists.
  • Track event costs and income.
Essential qualifications, skills and experience

Essential on arrival:
  • A minimum of 2 years work or equivalent internship experience;
  • The successful candidate will have excellent computer skills (particularly with Excel, Word and use of the Internet);
  • Must have good interpersonal skills with the ability to interact confidently and professionally with both internal and external stakeholders at all levels;
  • Strong communication skills, both written and oral;
  • Candidate must be a team-player and willing to learn and adapt;
  • Must be able to work in a fast-paced environment with demonstrated ability to handle the pressure of juggling multiple competing tasks and demands.
Desirable qualifications, skills and experience

Desirable:
  • Events management or delivery experience;
  • Client engagement or customer service experience;
  • Budget management experience.

Other benefits and conditions of employment

We offer a competitive package, which includes basic salary of SGD 2,596 per month and a generous annual wage supplement (as part of total guaranteed remuneration) of an additional 2 months' salary paid out in December each year, Central Provident Fund (CPF) payment in lieu for non-Permanent Resident foreign nationals, 23-days annual leave entitlement and a health insurance plan. The basic salary is non-negotiable.

We have a generous leave offer including: 23 days annual leave, increasing to 25 after 5 years' service, with the option to carry over up to 10 days into the subsequent leave year; 13 public holidays; generous maternity and paternity leave; and childcare leave. We encourage volunteerism and offer up to 3 days paid volunteer leave.

Working Patterns:

The job holder will work 26 hours/week within the normal working hours at BHC Singapore of 8.30am to 5.00pm, Monday to Friday. BHC Singapore supports and promotes flexible working as a crucial part of our inclusive offering.

As a part time job, this role is particularly suited to flexible working. The role holder will have the opportunity to agree with their manager a regular working pattern that suits their personal circumstances, but will be required to flex occasionally to meet operational demands.

Other information:

In addition to the duties which this job normally entails, you may from time to time be required to undertake additional or other duties as necessary to meet the needs of the High Commission, including playing a part in the corporate life of the mission and supporting any crisis response.
